Position Summary

The Infusion Assistant is a key member of the clinical team, responsible for supporting the safe and efficient delivery of infusion therapies while ensuring an exceptional patient experience. Working under the direct supervision and guidance of a Naturopathic Doctor, the Infusion Assistant will receive specialized training to prepare and administer vitamin infusions in accordance with clinic protocols, infection prevention and control (IPAC) standards, and regulatory requirements.

This role combines clinical support, patient care, and administrative responsibilities, including patient intake, medical record management, appointment coordination, inventory oversight, and treatment room preparation. The ideal candidate is compassionate, detail-oriented, and committed to maintaining the highest standards of patient care and safety.

Key Responsibilities

Patient Care & Experience

  • Greet, register, and assist patients throughout their clinic visit, ensuring a welcoming and professional experience.
  • Maintain positive patient relationships through clear communication before, during, and after treatments.
  • Prepare patients for infusion therapies and provide ongoing support and monitoring throughout their appointments.
  • Ensure efficient patient flow through collaboration with practitioners, clinical staff, and scheduling teams.
  • Process patient check-in, payment collection, appointment booking, and discharge procedures.
  • Address patient concerns promptly and professionally, escalating clinical issues as appropriate.
  • Support patient retention by ensuring all patients leave with their questions addressed, expectations met, and follow-up appointments scheduled when required.

Clinical Duties

  • Prepare treatment rooms, equipment, and supplies for infusion therapy appointments.
  • Perform venipuncture and initiate IV therapy as required and within scope following successful completion of clinic training.
  • Prepare and administer vitamin infusions under the supervision of a Naturopathic Doctor and according to established clinic protocols.
  • Monitor patients during treatments and promptly identify, document, and escalate any adverse reactions or concerns.
  • Maintain strict adherence to infection prevention and control (IPAC), safety standards, and clinic policies.
  • Ensure proper reconstitution, preparation, handling, and administration of vitamins and infusion products in accordance with internal quality standards.
  • Continuously develop clinical knowledge and technical skills through ongoing training and professional development opportunities.

Administrative & Operational Support

  • Maintain accurate and timely patient documentation within the electronic medical record (EMR) system.
  • Coordinate scheduling and appointment management to optimize clinic flow and patient access.
  • Assist with inventory management, supply ordering, receiving, and stock replenishment.
  • Ensure treatment areas are clean, organized, and fully stocked at all times.
  • Support day-to-day clinic operations and collaborate with interdisciplinary team members to achieve organizational goals.
  • Assist with quality improvement initiatives and compliance requirements as assigned.

Required Qualifications

  • Completion of a post-secondary diploma or certificate in a related healthcare field, such as Medical Office Administration, Medical Laboratory Assistant/Technician, Nursing, Practical Nursing, Phlebotomy, or equivalent healthcare training.
  • Minimum 1-2 years of healthcare experience in a clinical, infusion, diagnostic, physician practice, or similar patient-care environment.
  • Previous experience with venipuncture and IV therapy is considered a strong asset.
  • Proficiency with electronic medical records (EMR) systems and general computer applications.
  • Current CPR and First Aid certification preferred.
  • Demonstrated commitment to patient safety, confidentiality, and professional standards.
