Description de posteAbout the Role Reporting to the Manager of Investor Services, the Administrator, Investor Services is responsible for providing a ‘best- in- class’ investor experience. This is achieved by ensuring that all services delivered meet and exceed Equiton’s high standards. A continuous focus on quality will lead to the identification of process improvements across Client Services to enhance the client experience. *This role is based in our Burlington Head Office 5 days/week. Key Responsibilities - Provide ongoing professional support to internal and external sales teams, the firms outside advisor network, and the firm’s clients - Elevate and enable the Sales team to focus further on capital raise efforts and less on administrative tasks - Reducing operational risk to the company by ensuring compliance and security measures are in place and documented - Safeguard consistency of operations through detailed operating guides and proactive cross-training of team members - Accountability for creation and maintenance of all Investor Services documentation and guides; ensuring details of all department processes and procedures are up-to-date and available for reference, including but not limited to; trades and transactions, customer account processing, changes to client accounts and information, customer FAQs, etc. - Support the sales team on sales execution by providing active day to day updates on deal submissions, required documentation, transfer updates, status of funds and deal finalization - Communication and provide customer feedback to Sales team members, compliance, operations, and IT in order to proactively create efficiencies, improve quality and focus on continuous improvements to our customer experience - Maintain deep expertise on internal systems and processes as well as external industry-based platforms and software used by partner firms - Remain current with industry changes that affect the business and navigate accordingly - Lead the continuous improvement of internal processes, systems, and service - Liaise and maintain strong relationships with internal departments and external partners - Prioritize client satisfaction and ensure a consistent level of impeccable service is provided across the department What You Bring: - Post-secondary education in business or finance is an asset. - Minimum of 3 years of client service in the investments field with emphasis on direct client interactions and resolution - Administrative experience in the investments/financial industry including an understanding of various accounts and transactions - Proficiency in MS Office Suite - Proven experience in building and managing relationships with advisors and customers in the investment/ private equity industry - Solid understanding of registered investment plans, such as RRSP, LIRA, RRIF, TFSA and exempt market - Well-versed in securities transfers and estate settlement processes - Exceptional knowledge of policy, procedures, all transaction types, and product offerings - Demonstrated process improvements and leveraging technology to streamline work flows - Excellent prioritization, organizational and multi-tasking skills - Strong oral and written communication skills complimented by strong interpersonal skills - Positive attitude, can-do attitude and team player The expected annualized base salary range for this position is $55,000 - $60,000. The actual base salary offered will take into consideration factors including, but not limited to, the individual’s skill, experience, and relevant education or training.
