Job Title: Commercial Lease & Revenue Administrator

Salary: $75,000-$80,000 depending on experience.
The Commercial Revenue & Lease Specialist is responsible for managing commercial lease agreements and ensuring the accurate tracking, billing, and reconciliation of lease-based revenue across a diverse property portfolio. Working within the Commercial Property Administration team, this role ensures lease data, tenant billings, and revenue recognition are fully aligned with contractual obligations and internal controls.
This position acts as a key liaison between leasing, finance, property management, and tenants—supporting revenue integrity, lease compliance, and informed financial decision-making.
Key Focus Areas:
Commercial Lease Administration & Compliance
- Manage lease agreements, amendments, renewals, and related documentation
- Interpret complex lease terms including rent structures, escalations, recoveries, and inducements
- Ensure accurate lease abstraction and system setup
- Support broker commissions, lease term data for budgeting, and issuance of rental notices
Revenue & Billing Management
- Maintain tenant billing schedules aligned with lease terms
- Oversee accurate billing of rent, recoveries, taxes, utilities, and other charges
- Reconcile rent rolls, resolve discrepancies, and ensure revenue accuracy
- Support year-end reconciliations and expense pool setup with Accounting
Financial Reporting & Controls
- Support month-end, quarter-end, and year-end close processes
- Prepare revenue schedules, variance analyses, and supporting documentation
- Contribute to budgeting and forecasting activities
- Coordinate property insurance renewals and required documentation
Stakeholder & Tenant Support
- Serve as a key contact for lease interpretation and revenue inquiries
- Respond to tenant questions related to billing and reconciliations
- Collaborate with legal, leasing, finance, and property teams to resolve issues
- Provide financial insights to support lease negotiations
Process Improvement & Data Integrity
- Enhance lease administration and revenue processes for efficiency and accuracy
- Ensure alignment between lease agreements and system data
- Support system enhancements, reporting improvements, and documentation updates
Qualifications:
Education
- Bachelor’s degree in Business, Finance, Accounting, Real Estate, or related field
Experience
- 3–5 years in commercial property or lease administration or revenue management
- Strong understanding of commercial lease structures and billing methodologies
- Experience with office, retail, and industrial portfolios
- Exposure to operating cost recoveries, TMI reconciliations, and percentage rent reporting
- Audit support experience considered an asset
Skills & Competencies
