Project Coordinator

Were seeking an organized proactive and agile Project Coordinator to join our dynamic team. This role is instrumental in supporting project coordination activities including scheduling information gathering tracking and assisting the Operations Manager to drive the teams success. The ideal candidate is detail-oriented technologically adept and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

Coordinate and schedule meetings including discovery calls briefing sessions and strategy discussions.

Organize and update meeting invitations agendas and follow-up communications.

Maintain the master editorial calendar ensuring accuracy and alignment with project timelines key contacts content deadlines campaign launches review cycles and distribution schedules.

Utilize Microsoft Planner daily to organize project plans assign and track tasks set deadlines and monitor progress ensuring timely delivery and effective team collaboration.

Track content milestones and deadlines communicating with team members to ensure seamless coordination across project sprints.

Manage intake submissions for new content requests by monitoring designated channels (e.g. email inboxes online Qualtrics forms) logging and prioritizing requests.

Collaborate with the digital team to create and maintain leader profiles ensuring accuracy and alignment with organizational standards.

Oversee shared and individual inboxes by monitoring incoming messages prioritizing and responding to inquiries flagging urgent items and ensuring timely follow-up.

Qualifications

1 3 years of marketing experience preferably within a professional services environment.

Strong written and verbal communication skills.

Proficiency with Microsoft Office Suite (Word PowerPoint Excel Planner).

Experience with marketing automation tools and CRM platforms considered an asset.

Excellent organizational skills and attention to detail.

Ability to manage multiple projects simultaneously and meet deadlines.
