Administrative Supervisor - Addictions Program
Location : Queen Street Site, Canada. Evening work may be required.
Reports to : Manager of COMPASS.
Job Overview
We are seeking a full‑time, permanent Administrative Supervisor to lead a team of administrative staff and manage day‑to‑day operations of the Addictions Program.
Responsibilities
- Monitor workflow, daily coverage, and utilization of administrative resources.
- Create and implement administrative schedules.
- Support and manage registration, referral, and scheduling processes.
- Provide technical support to admin staff.
- Supervise and delegate activities related to coordinating meetings and events.
- Facilitate meetings with the administrative team.
- Prepare presentations, documents, and reports as required.
- Organize, implement, and communicate new administrative processes to the broader team.
- Train new staff on the frontline roles of the administrative staff.
- Cover frontline responsibilities during staffing shortages or gaps.
- Supervise onboarding and off‑boarding of staff, recruitment, hiring, and supervision.
- Order supplies, plan space, and manage confidential information.
- Prepare complex confidential reports, design presentations, and coordinate special projects.
- Serve as liaison with Human Resources, Information Management, Purchasing, Finance, and external organizations.
- Resolve administrative and technical problems, including scheduling system software and Microsoft Office programs.
Qualifications
Bachelor's degree in nursing, psychology, social work, healthcare administration, or a related field.2–3 years of experience in a healthcare setting.Proven ability to work with interprofessional teams.Excellent multitasking, organizational, and problem‑solving skills.Ability to work efficiently under minimal supervision.Attention to detail and sound judgment with confidential matters.Strong interpersonal, customer‑service, and communication skills.Excellent written and verbal communication, including minute taking.Advanced knowledge of office administration practices and expertise in Microsoft Office (Outlook, Word, Excel, PowerPoint, Access, Publisher) and ICARE.Proficiency in a second language is an asset.Compensation & Benefits
