Description de poste

Are you a highly organized procurement professional with a sharp eye for detail and seamless material flow? Do you bring hands-on expertise managing complex purchasing cycles and vendor negotiations within an engineered-to-order manufacturing environment? Then we might have the perfect opportunity for you!

We are currently seeking a Purchasing and Procurement Coordinator for a permanent, in-office position in Burlington, Ontario, on behalf of a globally recognized leader in metallurgical services and advanced furnace manufacturing. Reporting to the CFO and working closely with finance, engineering, and operations teams, this dynamic role serves as the central hub for all supply chain activities. As a critical driver of production, you will directly issue up to 20 purchase orders daily, manage over 100 vendor relationships, negotiate pricing and contracts, resolve three-way match issues, and navigate ERP systems (SyAcc, transitioning to SAP Concur) to ensure complex 38-week lead times are consistently met.

If you see yourself in this role and want to learn more about this opportunity, please apply to this job posting and reach out directly to patricia.van@randstad.ca with your most updated resume, the job posting’s reference number, and a brief synopsis of why you feel you would be a great fit for the role.

Advantages
• Competitive annual salary ranging from $75,000 to $80,000.
• Standard, consistent working hours of 8:00 AM to 4:30 PM in a professional office setting.
• Two weeks of paid vacation time to promote a healthy work-life balance.
• Comprehensive benefits package including Dental Care, Extended Health Care, and Life Insurance.
• Employer RRSP matching program featuring voluntary contributions upon starting, with company matching beginning after one year of employment (3.0% for 1-4 years, scaling up to 5.0% for 20+ years of service).
• Free, convenient on-site parking.
• Highly engaging and welcoming company culture featuring team-building events such as summer BBQs, holiday lunches, potlucks, and Halloween costume contests.

Responsibilities
• Receive and review purchase requisitions from operations for materials, supplies, services, office equipment, and capital items.
• Assist Ontario sites with purchasing requisitions when required to ensure standardized business administration across locations.
• Source pricing, obtain competitive quotations, confirm lead times, and place orders with approved and qualified suppliers.
• Generate accurate and complete purchase orders in SyAcc, ensuring all required details are included such as pricing, quantities, delivery requirements, quality clauses, and vendor information.
• Monitor and manage open purchase orders, proactively following up with suppliers on order status, shipment schedules, lead times, and delivery performance.
• Coordinate with suppliers and internal stakeholders to resolve delivery issues, discrepancies, and urgent material requirements.
• Prepare and issue Request for Quotes (RFQs) with clear technical specifications, scope, commercial terms, and evaluation criteria.
• Analyze quotations using total cost, lead time, quality, and risk considerations.
• Maintain and continuously improve the supplier database, ensuring accurate and up-to-date supplier information.
• Support supplier onboarding, including coordination with Finance, completion of supplier forms, and system setup.
• Manage supplier relationships and negotiate or participate in negotiating contracts, pricing, timelines, terms, and conditions.
• Execute all contracts starting from contract acceptance and kick-off to supplier performance score carding and PO closeout.
• Support receiving activities by correcting receiving errors and saving packing slips to matching purchase orders and releases.
• Track down missing packing slips and delivery documents from suppliers, shipping, receiving, or requestors to support invoice processing and payment.
• Manage invoice-related documentation by saving PO invoices to the correct purchase order files, forwarding non-PO invoices to Accounts Payable, and moving complete three-way match packages to the AP folder.
• Work with Accounts Payable to resolve three-way match issues, payment inquiries, late-payment requests, account holds, and month-end preparation requirements.
• Prepare open purchase order reports, maintain purchasing records, and support reporting requirements for audits, NPRI, ESG, DAIR, and senior management requests.
• Monitor inventory levels and material flow to support production requirements.
• Identify excess or obsolete inventory and support disposition or cost-reduction efforts.
• Evaluate market conditions and maintain knowledge of current market trends to optimize broader supply chain and business administration strategies.

Qualifications
• Post-secondary diploma or degree in Supply Chain Management, Business Administration, Purchasing, Operations, or a related field is preferred.
• Minimum of 2 to 4 years of proven purchasing, procurement, or supply chain experience.
• Direct experience working within a manufacturing environment is strictly required.
• Experience using ERP/MRP systems; familiarity with SyAcc or SAP Concur is considered a strong asset.
• Exposure to low-volume, engineered-to-order manufacturing is highly preferred.
• Experience with vacuum furnaces, aerospace, or capital equipment is considered an asset.
• Highly organized, detail-oriented, responsive, and able to manage multiple priorities in a fast-paced manufacturing environment.
