The receptionist position will be responsible for greeting visitors who come into the front office and ensuring access protocols to the building are being followed along with answering incoming calls. This position will also assist the B&M FM in other administrative duties, including WO management. Maintain a clean and neat appearance of the Lobby, and coordinate work requests to the facilities team to address.
Essential Duties and Responsibilities :
Greets and registers all visitors entering the building.
Ensures employee access / badge protocols are being followed.
Ensures calls and walk -ins are handled and directed to appropriate staff.
Maintains the scheduled visitor / vendor / service provider calendar and distributes to appropriate personnel
Assists and coordinates pick-up and distribution of mail deliveries (UPS, FedEx, etc.).
Assists in maintaining conference scheduling calendar and approval of requests
Maintains the employee parking permit registrar
Maintain the professional appearance of the Lobby
Assists B&M in WO management administration as assigned by FM
Any other duties assigned by management.
Qualifications :
Positive, energetic and possess a professional personal presentation.
Ability to build and maintain internal and external relationships and works to meet and exceed expectations.
Two to three years of proven experience providing excellent customer service in receptionist role.
Bi-lingual French / English; written and spoken for interface with client personnel
MS Office Suite (including but not limited to Excel and Word) and Outlook.
Excellent written and verbal communication skills.
Demonstrated customer services skills.
Strong organizational and multitasking skills.
HS Diploma OR GED
