About this Opportunity

The Richmond Country Club (RCC) is recruiting a full-time Accountant - Accounts Payable and Payroll Administrator to join our dynamic team. The incumbent reports to the Director of Finance (DOF) and is responsible for the administration and accuracy of the day-to-day tasks associated with the payroll and benefits functions for our staff and the accounts payable function, i.e. payments to our suppliers, members, and other third parties with interactions handled in a professional, courteous manner. This individual also supports the DOF with tasks affecting the Clubs financial operations, accounting, and control functions. This personnel is a key member of the Finance team and will also perform general accounting and administrative functions; and records, classify, and summarize accounting data in accordance with established policies, procedures, and controls. The incumbent will work collaboratively with the Leadership Team, while working to ensure best accounting and payroll practices are exercised.

Duties and Responsibilities of the Accountant - Accounts Payable and Payroll Administrator :

Payroll and Benefits :

  • Submit bi-weekly distribution emails to management staff to review and follow-up on timecards promptly and accurately.
  • Managing electronic timekeeping system and reviewing timesheets periodically.
  • Provide information and answer employee queries about payroll-related matters and resolve payroll errors.
  • Process and submit bi-weekly and semi-monthly payroll for direct deposit including issuing checks for payments to vendors.
  • Maintains and files payroll records and documentation necessary to substantiate and record all payroll-related activities.
  • Files employee-related documents in employee files.
  • Submitting RRSP plan contributions.
  • Administering the employee healthcare benefits program accurately, based on the RCC benefits policy and procedures.
  • Comply with local, provincial, and federal government reporting requirements and tax filings.
  • Perform tasks related to insurance coverage, payroll, and employee benefit plans.

Accounts Payable :

  • Process invoices and payments on a timely basis, reconciling supplier accounts and responding to payment inquiries as needed while ensuring club policies and procedures are followed.
  • Process cards, payments, and related support to operations.
  • Issue cheques weekly and attach check stubs to purchase requests and backup paperwork.
  • Review monthly statements provided by vendors to ensure all invoices have been paid in a timely manner.
  • Reconcile the monthly Visa statement and provide monthly journal entries on a timely basis.
  • PST / GST remittance- monthly reconciliation and submission.
  • Maintain records for capital assets additions.
  • Maintain the share register for Richmond Golf Ltd. including the issuance and redemption of shares.
  • General Accounting

  • Performs month-end close and year-end close activities such as account reconciliations, preparation of journal entries and various working papers.
  • Supports the DOF with annual audit and liaising with External Auditors
  • Other Duties

  • Support the Member Accounts Administrator / Accounts Receivables Administrator (AR) with day-to-day responsibilities when needed or in the absence of the AR team member which involves :
  • Reconcile and post daily POS updates to member accounts.

  • Process and deposit all payments received.
  • Respond to member inquiries
  • Assist other departments with accounting-related issues and reconciliation needs.
  • Generate reports as requested or needed for reconciliations.
  • Reports to assist with the annual insurance and banking reviews.
  • Maintaining financial database and storage of records (Government documents, taxes, payroll records, audit records, etc.).
  • Assist with gathering documents needed by external auditors.
  • Assist the DOF with developing and maintaining a documented system of accounting.
  • Review and abide by company policies and procedures.
  • Other duties as assigned by the DOF or General Manager.
  • Knowledge and Experience :

  • Degree in Finance / Accounting / Business Administration and three years of Accounting and Payroll experience is ideal.
  • Experience in government accounting and general accepted accounting principles, operating procedures and / or appropriate regulations is preferred.
  • Proficiency in Microsoft Office and payroll software programs
  • Strong numerical aptitude and attention to detail is crucial for this role.
  • Previous experience with accounting software is preferred.
  • Previous working knowledge of ADP payroll software is preferred.
  • Minimum of 3+ years in a role with financial accountability is required.
  • Expert Microsoft Office knowledge, computer and organizational skills are crucial.
  • Knowledge / familiarity of Jonas (Club Management) system is an asset.
  • Excellent interpersonal, written and communication skills to communicate with staff, external vendors and membership.
  • Previous experience in the hospitality, resorts, and / or private country club industries is preferred.
  • Ability to represent Richmond Country Club in a professional manner upholding customer service skills.
  • Working with a teamwork mentality is essential.

  • Work Environment :

  • On-site and regular work location at RCC, 9100 Steveston Highway, Richmond, BC.
  • 40-hour work week, Mondays to Fridays.
  • Potential Start Date : December, 2024 to January, 2025.
