We have partnered with our client who is looking for their next EXECUTIVE ASSISTANT! This position would support the Owner and CFO with day to day administrative functions. if you have more than 3 years of executive level support experience, we want to hear from you!
Position : Executive Assistant
Employment Type : Full Time Permanent
Hours : Monday - Friday 8 : 00am - 4 : 30pm
Location : Oakville, Ontario
Salary : $60,000 - $80,000

Responsibilities
Calendar Management : Proactively oversee the executive’s schedule by arranging meetings, appointments, and conference calls while coordinating with internal and external stakeholders.
Travel Arrangements : Handle complex domestic and international travel, including booking flights, accommodations, ground transportation, and managing itineraries.
Communication Management : Screen and prioritize incoming calls, emails, and correspondence, directing them to the appropriate parties as needed.
Document Preparation : Create and refine presentations, reports, memos, and other documents with accuracy and professional formatting.
Meeting Coordination : Plan and facilitate meetings by preparing agendas, distributing materials, taking minutes, and following up on action items.
Expense Reporting : Process and maintain accurate financial records related to expense reports.
Project Management : Support special projects by conducting research, compiling data, and ensuring follow-ups are completed.
Office Management : Oversee office supplies, maintain organized filing systems, and coordinate office services as required.
Qualifications
Exceptional Communication : Strong verbal and written communication skills to engage effectively with diverse stakeholders.
Organizational Excellence : Proven ability to prioritize tasks, manage multiple projects, and meet deadlines with keen attention to detail.
Technical Proficiency : Skilled in Microsoft Office Suite, calendar management tools, and other relevant software.
Confidentiality & Discretion : Trusted to handle sensitive information with professionalism and confidentiality.
Proactive Mindset : Ability to anticipate needs and address potential challenges before they arise.
Adaptability & Flexibility : Comfortable adjusting to shifting priorities and thriving in a fast-paced environment.
