As an administrative assistant, you will play a key role in planning, managing schedules, and providing essential administrative support to the senior director.
What You Will Accomplish With Us
- Provide administrative support to the Senior Director, including calendar management, proactive email handling, and planning and booking business travel.
- Coordinate events and meetings (committees, workshops, team gatherings), including room reservations and all related logistics.
- Prepare expense reports for the management team, ensuring compliance with company policies.
- Draft, review, and proofread various administrative documents.
- Actively participate in the onboarding process for new employees and serve as the primary point of contact for administrative and operational inquiries within the team.
- Track consultants’ working hours, manage financial provisions, and process invoice payments for the department.
- Identify areas for improvement and implement optimizations in administrative processes.
What Could Accelerate Your Success In This Role
- Minimum of 5 years of relevant experience in a similar role
- Strong attention to detail and resourcefulness
- Initiative, collaborative mindset, and ability to serve as a liaison within the team
- Advanced knowledge of the Microsoft Suite (Word, Excel, PowerPoint, Outlook, Teams)
- Solution-oriented approach and commitment to delivering excellent service to stakeholders
- Intermediate level of English proficiency, as the role requires communicating via email with various suppliers and external partners, reading and drafting documents in English, and frequent interactions with English-speaking colleagues and internal partners across Canada on a daily basis
