Position Description
The role of Executive Assistant is to provide administrative support to ensure efficient operation of the office. The successful candidate will support managers and employees through a variety of tasks related to organization and communication. The scope of this position includes communicating via phone and e-mail to ensure that all administrative duties are completed accurately and delivered with high quality and in a timely manner.
- Effectively handle general telephone and inquiries to the company and direct to team members.
- Liaise with team members to organize and schedule meetings/appointments as required.
- Provide support to the Executive Assistant, including diary management for the Chief Executive and Chairman.
- Organize and book travel arrangements as required.
- Reception duties, including meeting and greeting visitors.
- Filing paperwork as required, including keeping accurate meeting paperwork.
- Formatting and finalizing reports and documents for the team.
- Minute meetings and conference calls as required.
- Assist with company seminars, conferences and other events as necessary.
- Creation of PowerPoint presentations and documents.
- Exceptional Excel skills.
Experience
- Experience working in an administrative role.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Proficiency in MS Office, Excel, and PowerPoint.
- Knowledge of office management systems and procedures.
- Experience dealing pro-actively and efficiently with inbound communications.
- Experience updating and managing a database.
Education
Post-Secondary Education.
