Qualifications & Personal Attributes
Minimum 2+ years in an Administrative Assistant or similar role (dental experience an asset, not required)Accounting or bookkeeping experience is an advantageStrong customer service, communication (written / verbal), and time-management skillsHighly organized, tech-savvy, and systems-driven with strong attention to detailProactive, adaptable, and able to stay professional and calm in a fast-paced environmentWorks well independently and as part of a team, with a positive attitude and willingness to learn / growAssociate Recruitment & Onboarding Responsibilities
Post and manage job ads, and coordinate with recruitment agencies / sourcing partnersScreen resumes, shortlist qualified candidates, and support candidate communicationSchedule interviews and manage meeting logisticsManage onboarding documentation and processes for new hiresMaintain accurate, up-to-date candidate records and securely file confidential documentsProvide regular updates and communication across platforms to keep the team alignedGeneral Administrative Responsibilities
Respond to Associate-related inquiries professionally, with discretion and confidentialityMaintain accurate, secure Associate records and handle confidential correspondenceCoordinate meetings (agendas, minutes, follow-ups) and support communication between clinics and leadershipCollect and consolidate key clinic / Associate operational data (schedules, absences, closures, staffing, lab usage, etc.)Coordinate Locum Dentist scheduling, travel arrangements, and reimbursementsUse and support multiple software platforms and systems; collaborate cross-functionally (Marketing, Ops, Senior Leadership)Assist with special events and company gatherings (conferences, year-end celebrations, etc.)Provide high-level admin support, strong problem-solving, and help with additional duties as assignedAssociate Pay Responsibilities
Support monthly Associate Pay processes, including month-end preparation and documentationPrepare, review, and distribute Associate pay documents and statementsCollect required compensation details from Office Managers and validate data in clinic systemsOrganize files in Dropbox and upload / distribute statements securely via email and approved platformsAs a family-owned group, its not just business for us.
