Compensation : $27 per hour.
Regular Work Hours : From 8 : 30 am to 4 : 30 pm, not including 1 hour unpaid lunch break, Monday to Friday (35 work hours per week).
Work Location : 100% onsite at client's mid town Toronto office, near TTC station.
Ergonomic Requirements : In addition to regular desk work, the position will require periods of extended standing to handle mail, photocopying and documents collation, light to medium-weight lifting of file boxes and office supplies, walking across and between floors, and similar ergonomic requirements associated with mail, printing or records management tasks, and facilities administration.
Responsibilities Summary :
Provide bilingual reception, administrative and clerical support services to small teams of department staff in both French and English, working to deadlines, responding to inquiries, and supporting and maintaining a range of business priorities and processes.
- Answer, triage and respond to general incoming calls and emails. Greet visitors and direct them as appropriate.
- Sort, distribute and process incoming and outgoing mail and courier packages.
- Draft, edit, format, proofread and finalize correspondence for signature, in both French and English.
- Coordinate department publications, ensuring they are up to date and in stock.
- Maintain department web postings and ensure website information is accurate and up to date.
- Provide administrative support to training programs, including coordination of scholarship applications and awards processes.
- Set up department conference calls and videoconferences using Zoom. Book onsite meeting rooms using MSOutlook.
- Assist with conference arrangements and registration. Assist department staff with travel arrangements and filing expenses. Reconcile invoices against supporting documentation (approvals, packing slips, etc.).
- Assist with collating and stuffing bulk mailings, and occasionally with office-wide outgoing mail.
- Provide regular assistance with printing and photocopying, including occasional use of large production copiers.
- Scan documents and maintain electronic and physical filing and storage systems.
- Lift and move bankers’ boxes of files for storage as required.
- Additional reception, administrative and clerical support functions as required.
Qualifications :
Education : High school diploma, or equivalent combination of education and work experience.
Preferred Work Experience : Approximately 3-5 years of progressive experience in a similar reception or administrative support role.
Preferred Sector Experience : Union office experience preferred.
Technical and Language Skills Requirements :
Advanced MSOffice, including Word, Excel, Outlook and PowerPoint (will be tested).Strong data entry skills and attention to detail (will be tested).Experience with Microsoft Access, or similar database applications.Proficiency with Zoom or similar online meeting system.Familiarity with layout or design software, such as Adobe Creative Suite is an asset.Strong proofreading and / or copy-editing skills in both English and French (will be tested)Overall strong proficiency in French and English, both written and verbal, including business writing skills, excellent spelling, grammar, proofreading and syntax, and professional telephone manners.Task -Based Qualifications and Additional Attributes :
