POSITION TITLE : Student Accessibility Services (SAS) Secretary Exam Coordinator

DEPARTMENT : Student Accessibility Services Downtown & Main Campus
HOURS OF WORK : This position operates on a two-week rotating schedule alternating between morning and afternoon / evening shifts requiring flexibility. Hours of work may be scheduled between 8 : 00 a.m. and 10 : 30 p.m.
Hours average up to 24 per week with additional hours (up to 35 per week) during peak periods; shifts weekends start and end times may vary based on operational needs including exam periods. Reasonable efforts will be made to maintain a consistent schedule except during peak periods.
RATE OF PAY : As per schedule A - Unifor 2458 Part Time Collective Agreement

PRIMARY RESPONSIBILITY :
The Secretary / Exam Coordinator provides assistance for students with disabilities within the department of Student Accessibility Services. The incumbent is responsible for organizing details related to exam accommodations securing alternate format learning materials and provides assistance to the disability advisors by performing receptionist and administrative duties.
SUMMARY OF DUTIES :
all matters related to scheduling of exams for students with disabilities. This includes contacting faculty ensuring proper accommodations are in place based on advisors recommendations and ensuring the secure and timely delivery and return of exams to maintain the integrity of the program.
the Student Accessibility Services database that tracks all functions related to exams and note taking processes.
that students technology needs are met when they arrive to write exams by organizing exams in alternative format or setting up technology for the purposes of exam writing.
administrative support for exam accommodation requests.
appointments for advisors tracking budget spending determining expenses and the tracking of statistics and gathering of some information for Ministry reporting.
hire train schedule and supervise proctors to ensure the integrity of the exam writing process.
the maintenance of the current proctor manual and training program for all proctors.
the organization of the note-taking program alternative format materials including textbook ordering and brailing of materials for student who are blind or visually impaired.
other duties as assigned.
ESSENTIAL QUALIFICATIONS :
The successful candidate will have :
Diploma in Office Administration or experience in an office environment
Knowledge of disability issues (physical and mental health) accommodations and the Ontario Human Rights Code
Significant customer service experience including exceptional communication (verbal and written) interpersonal organizational multi-tasking time management and problem-solving skills
Strong attention to detail
Ability to work as part of a team with limited supervision
Ability to work with students who at times demonstrate a high degree of stress and anxiety
Willingness to work flexible hours including evenings and weekends
Experience in making decisions and exercising good judgement independently
Willingness and ability to adapt and be flexible to meet the needs of students who often times have unique or challenging circumstances
Willingness to become and stay well informed regarding the best practices and technologies that are needed to support students with disabilities
Strong computer skills and competency with various database software packages.
