Location - This role is in-person at North Campus Edmonton.

Reporting to the Supervisor, Patient Management Services and taking direction from the Simulation Lab Coordinator, this dual-role position provides critical operational and administrative support to the Bridge Training to Dental Practice in Canada (Bridge) program at the Mike Petryk School of Dentistry. The Coordinator transitions between two primary functions to align with the academic calendar : serving as the Simulation Lab Coordinator (June - December) and the Treatment Coordinator (January - May). This position must exercise independent judgment, maintain professional standards of care, and work collaboratively with internal and external stakeholders to support the program.

Responsibilities

Treatment Coordinating / Clinical Assisting - January - May

  • Patient & Student liaison, acts as the primary source of contact for patients, students and instructors
  • Scheduling & Optimization : Sequences appointments and monitors booking schedules to ensure clinical efficiency, maximum utilization, and correct treatment timeframes
  • Assign patients based on clinical needs and identify specific treatment types required for student progression
  • Quality Assurance : Ensure treatment plans and statuses are accurately entered and assist in preparing documentation for chart audits
  • Assist / mentor students
  • Prepare dental operatories and chairside assisting

Simulation Laboratory - June - December

  • Coordinate lab bookings, student station assignments, and locker distributions
  • Planning : Meet with Instructors and course Coordinators to confirm lab requirements (materials, equipment, and AV needs) for each session
  • Exam Support : Monitor exams and ensure the accuracy of dental materials as requested
  • Inventory Control : Track, reconcile, and label all dental materials and equipment; maintain digital inventory data
  • Procurement : Request supplies, manage backorders, and source alternative products when necessary
  • Distribution : Prepare and distribute material kits / teaching aids for labs and manage the loan of university-owned equipment to students and staff
  • Quality Assurance : Ensure proper stock rotation and maintain consistency between lab materials and clinical standards
  • Qualifications

  • Diploma / Certificate from an accredited Dental Assisting Program or NDAEB Certification
  • Current registration with CADA, CDAA along with a local association license
  • Minimum of 5 years of experience in a dental office
  • Dental office administrative experience is required
  • Current CPR certification and WHMIS training
  • Knowledge of dental procedures, materials, and equipment
  • Knowledge of departmental protocols and infection prevention and control standards
  • Experience with Electronic Health Record (EHR) systems is required
  • Inventory / supply management experience
  • Proficiency in MS Office (Word, Excel, Access, PowerPoint) and Google Suite
  • High level of computer proficiency using email, calendaring, and scheduling software
  • Well-developed planning and organizational skills; ability to prioritize activities and meet deadlines
  • Excellent communication, interpersonal, and customer service skills within a fast-paced environment
