Raise is currently hiring a Senior Document Control Analyst on behalf of our client. They’re expanding their team to meet growing needs. Our client is one of North America’s leading energy infrastructure companies with operations in natural gas, oil and power industries throughout Canada, the United States, and Mexico.

Note : The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.

Description

The Document Control Analyst in this role will be the strategic lead for all records and document management performance. You will be responsible for establishing protocols for both internal and external stakeholders, overseeing the day-to-day activities of the Document Control team, and ensuring that all project information aligns with the Capital Project Management System. This role acts as a bridge between technical project requirements and information governance.

Responsibilities

  • Leadership & Oversight : Direct the daily activities of the Document Control team; provide mentorship, guidance, and training to ensure a consistent approach to information management across the project lifecycle.
  • Strategy & Planning : Develop and maintain the project’s Information Management Plan. Define strategies for Internal / External SharePoint sites, EDMS, and physical records.
  • Process Engineering : Conduct business analysis of information flows to design and implement document control processes that support business needs, including procedures for field offices.
  • Stakeholder Collaboration : Establish protocols for external stakeholders and vendors; collaborate with project teams to ensure information is protected, organized, and accessible.
  • Quality & Compliance : Perform regular self-audits to identify gaps in data integrity or process adherence; implement corrective actions as required.
  • Systems Optimization : Lead continuous improvement of the SharePoint environment and other EDMS tools to ensure technical optimization.
  • Training & Enablement : Coordinate and lead training sessions (in-person or virtual) and oversee the creation of FAQs, cheat sheets, and manual documentation.
  • Qualifications

  • 10 years of progressive experience in Document Control or Information Management, preferably within the Energy, Oil & Gas, or Infrastructure sectors.
  • Advanced proficiency in SharePoint (Vault), EDMS platforms, and Microsoft Office Suite.
  • Deep understanding of Capital Project Management Systems and the specific documentation requirements of large-scale engineering projects (drawings, vendor data, transmittals, etc.).
  • Proven ability to manage multiple concurrent initiatives, provide progress reporting, and meet strict project schedules.
  • Ability to assess complex business flows and translate them into functional document control workflows.
  • Experience in conducting quality audits and implementing corrective action plans within a regulated environment.
  • Strong ability to consult with senior leadership and external partners, translating technical IM requirements into actionable project tasks.
  • Bachelor’s Degree in Information Management, Library Science, Business Administration, or a related field. Equivalent technical experience and certifications (e.g., CRM, IGP, or PMP) will be considered.
