This is a hybrid role and will be in SISIP’s head offices in Ottawa.
THE ROLE
As an Executive Assistant, you will provide right hand support to the Senior Vice President of SISIP Financial, while handling multiple and simultaneous deadlines. Effective communication and the ability to handle a high volume of work is essential to this position. Managing relationships with networks and stakeholder is an important aspect of this role, as you will regularly interface with internal and external partners, executives and senior members of the CAF community.
RESPONSIBILITIES
- Provide critical, day-to-day administrative and project support to the Senior Vice President and members of the leadership and national office teams.
- Responsible for monitoring organizational priorities and initiatives and providing regular reports identifying gaps and progress, and recommendations as may be appropriate, utilizing sound judgement and discretionary skills in decision making.
- Provide coordination support to the leadership team members on multiple projects and interaction with cross functional teams and internal partners to deliver projects with excellence.
- Meetings and events administration (internal and external) including planning, scheduling, conference calls, recording of minutes, materials preparation.
- Assist in reconciling projects, updating status and escalating where necessary to keep delivery on track.
- Coordinating of communication flow and execution of communications on behalf of the Senior Vice President, leadership team and internal partners.
- Participate in the mandate of the internal communications team to support execution of planned employee engagement and organizational communications calendar.
- Work closely with internal partners to coordinate and track shared services requirements (marketing, translation, facilities, etc) in support of SISIP’s national office and branch needs.
- Schedule appointments and meetings, manage agendas and documents, coordinate travel arrangements and prepare travel claims and expense reports for the team.
- Calendar management for the Senior Vice President and leadership team as may be required.
- Manage correspondences and enquiries, including researching for reference documentation, monitoring, re-directing, and timely follow-up.
- Research, draft and edit correspondence, reports, plans, lists and briefing notes.

College diploma or certificate in Administration, Office Administration, Business or a related field5+ years of experience in office administration, or a related fieldFrench fluency
