Work Description :
The Program Administrator is responsible for supporting the Program Manager and site representatives in day-to-day administration for the on-going construction projects in the Ottawa area. In addition to the administrative duties of this role, the Program Administrator will also oversee site contract reporting and will provide support in verifying incoming project documentation.
Major Responsibilities :
- Act as the liaison between site construction / subcontractor teams and program managers. While communicating respectfully with all parties to effectively relay project updates to key stakeholders (Development Owners, Consultants, City Representatives, Property Owners, Subcontractors, Builders Trades and Taggart team members).
- Assist the Program Manager in planning, coordinating and supervising construction activities.
- Maintain the database for plans, specifications, cost, and material estimates, subcontracts and reports.
- Collect data on site to support accurate preparation and tracking of budgets.
- Assist the Program Manager in preparation of progress payment certificates, final payment certificates, sub-contractor’s PPC’s and all extra work orders as per contract.
- Arrange and conduct construction field services / inspections as required.
- Process material packing slips.
- Update the Program Manager of daily progress and changes on the job sites.
- Record and organize documentation for additional work to be done – support Program Manager in the preparation of extra work reports and billing.
- Provide support to the Program Manager in preparation for site meetings or other related construction meetings with consultants, owners, and other project representatives.
- Ensure revised drawings and specifications are distributed to site and all foremen have updated revisions of documents on site.
- Assist in creating and organizing work orders for Clean and CCTV work and maintain the database for CTSpec.
- Markup Construction drawings for field use and allocating work to internal and external crews.
- Complete detailed reviews including but not limited to structure reports, water distribution, and CCTV reviews provided by job consultants and owners
- Assist in daily as needed direction in regard to work scope from Combo and CCTV unit keeping in line with stakeholder requirements.
- Assist in directing the preparation, processing and formatting of CCTV reports.
- Prepare and submit CCTV reports to clients.
- Occasionally perform physical tasks including lifting manhole, catchbasin and valve covers as needed for inspections and sign off.
- Maintain duties related to Occupational Health & Safety Act and Regulations for construction projects, including participation on accident investigation and reporting, health and safety committee meetings, claims management etc.
- Coordinate and maintain scheduling of Utility Locates for various construction sites.
- Perform additional assignments per manager’s direction.
Education and Experience Requirements :
Post secondary education in administration or in construction project management or related field would be an asset.Experience in heavy civil construction projects would be an asset.Strong client-facing and internal communication skills.The candidate should possess excellent written and verbal communication skills.Detail orientated, solid organizational skill, multitasking skills, and the ability to prioritize is key to this role.Proficient working knowledge of Microsoft Office is required. Understanding of other Project Management tools would be an asset.Work Environment :
Construction environment can be difficult conditions, loud, busy and will also require both outdoor and indoor work.Manual dexterity required- Moving from site to site in construction areas can be challenging.Providing service to several people or departments, working under many simultaneous deadlines.Sitting or standing for long periods of time at workstation.Application
