Administrative Assistant - Waterdown

We are seeking a focused, flexible, and approachable Administrative Assistant to support our office in Waterdown. As a mid-sized regional public accounting firm, we pride ourselves on building meaningful client relationships and maintaining a collaborative and inclusive work environment. This is a temporary contract position providing essential administrative support to ensure efficient daily office operations. You will act as a key point of contact for clients and a vital support system for our internal team.

  • Compensation : Pay range of $20.00 – $23.00 per hour based on experience.
  • Working hours are 9 : 00am-5 : 00pm with a 30 minute break
  • February to mid-march part time 3 days per week
  • Mid-March to April full time 5 days a week
  • Potential for extension past April 30th

Responsibilities

  • Answer phone calls, direct callers, schedule appointments, and assist visitors with a professional and friendly demeanor.
  • Maintain physical and digital filing systems, including scanning and updating old documentation.
  • Manage emails, digital correspondence, and draft or edit letters and reports.
  • Coordinate meeting logistics (room setup / catering), manage partner calendars, and distribute daily mail.
  • Manage daily bank deposits, reconcile partner credit card statements, and process credit card payments.
  • Oversee the intake of personal tax information and corporate year-end documentation.
  • Operate and maintain office equipment (printers, copiers, postage machines) and coordinate with vendors for supplies.
  • Qualifications

  • Experience : 2–3 years of administrative experience is preferred. Experience in public accounting is an asset but not required.
  • Tech Savvy : Proficiency in Microsoft Office (specifically basic Excel) and the ability to learn accounting-specific software and customer databases.
  • Communication : Strong verbal and written English communication skills; ability to draft professional emails.
  • Efficiency : Superb organizational and time-management skills with the ability to multitask in a fast-paced environment.
  • Attributes : Approachable, discreet with sensitive information, and comfortable working both independently and as part of a diverse team.
