Main Accountabilities Include

  • Collect statistical data for the Station Manager to formulate required reports.
  • Responsible for all accounts receivable and payable functions.
  • Ensure new hires complete required paperwork, policies, and are set up for payroll.
  • Maintain employee files in compliance with the Company 8 Pillar compliance.
  • Process payroll for location.
  • Work with HR to ensure employees complete enrolment for company benefits and coordinate enrolment through the corporate office.
  • Verify current ID on file (valid RAIC, Driver’s License, Birth Certificate, Passport or Citizenship / PR Card, SIN Card).
  • Coordinate administrative assistance.
  • Represent the company professionally.
  • Assist the General Manager (or substitute) with financial reports and invoicing.
  • Assist the local Health & Safety Committee with minute taking and follow‑up items.
  • Perform other duties as assigned by management.
  • Control employee uniform stock in accordance with the station approved budget.
  • Place uniform orders and follow up on missing items.
  • Ensure professional uniform delivery and communication to all staff.
  • Implement and maintain a hand‑in process for uniform changes.
  • Control office equipment and operating supplies; arrange repairs / maintenance as necessary.
  • Manage stationary, water and vending machine supplies.
  • Administer contracts between the Company and approved suppliers.
  • Maintain premises and annexes with contracted maintenance providers.
  • Ensure tasks comply with Company and airline procedures and policies.
  • Attend mandatory training imposed by the Company and airlines.
  • Book hotels and meeting rooms as requested by the Station Manager or HR team.
  • Provide confidential secretarial and administrative support to the Station Manager, HR team, and Operational Managers.
  • Assist HR with document retention and filing according to Menzies Policy.
  • Support the Management and HR teams in staff communication.
  • Liaise with approved suppliers regarding agreements with Menzies Aviation YUL.

Qualifications And Experience

  • Previous administrative and payroll experience.
  • Fluent in English and French.
  • Strong verbal and written communication skills in English.
  • Ability to handle confidential information.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Valid Transport Canada Security Clearance.
  • Valid G or G2 Provincial driver’s license in good standing.
  • Availability and flexibility for variable shifts, weekends and holidays.
  • Minimum 18 years of age and legally able to work in Canada.
  • Knowledge of the Federal Labour Code.
  • Ability to lift up to 30 kg when required.
  • Ability to manage time efficiently and work extended hours when required.
  • Initiative and ability to work independently.
  • Attention to detail and good teamwork.
  • Excellent organizational planning and administrative skills.
  • Excellent interpersonal skills with ability to communicate with diverse cultures.
  • Experience in a busy, high‑pressure environment.
  • Experience handling confidential, sensitive work.
