The opportunity :
Reporting to Senior Manager, Operations, the Lead, Operations Account Services is responsible for coding of accounts, and maintenance of accounts including Quality Assurance to meet CIRO, CRS, QI, FATCA amongst other regulatory standards. Working in close coordination with vendor (Advisor Connect), custodian (National Bank), and clients (Advisor Teams); the Lead, Operations Account Services stands at the intersection of service, operations, and compliance to provide deliver exceptional experiences to all stakeholders.
The Lead, Operations Account Services requires creativity to solve complex issues, flexibility, and adaptability to pivot to different tasks with varying degree of urgency, and an ability to analyze processes for improvements and automations. The incumbent will deliver exceptional service experience to Advisor teams by proactively anticipating their needs, and communicating in a lean manner to custodians, vendors, and senior management to resolve issues effectively.
The incumbent must remain up to date on regulatory policies and updates internal guides, FAQs, and knowledge shares with the team consistently.
Key responsibilities include :
Creating and revising policies and procedures for the Operations department on an ongoing basis to ensure we are meeting regulatory requirements.
Guiding the audit specialist in all matters of QI, FATCA, CRS as it relates to working with Investment Advisors and custodian to minimize negative impacts in withholding taxes.
Conducting procedure workflow gap analyses and company-wide business analyses.
Identifying and evaluating business initiatives to ascertain appropriate programs, tools, and resources.
Developing team-building exercises and workshops aimed at identifying gaps, solutions, and collaboration opportunities.
Contributing to department restructuring to increase efficiency, aligning activities with business objectives.
Creating and implementing effective strategic project plans.
Creating project timelines and deadlines to ensure achievement as planned.
Ensuring implementation of developed project vision, scope, and goals.
Communicating and following-up across project teams to ensure effective and timely results.
Reporting on project plan, progress, and results.
Providing status updates on weekly activities and next steps.
Communicating and reporting on outstanding activities, action items, risks, and deliverables.
Documenting processes and procedures and presenting progress reports to executives and senior managers.
Developing and delivering project presentations to project teams, leaders, and executives.
The ideal candidate will possess :
Proficiency with the MSOffice suite, including Word, Excel, Powerpoint, Teams, and Outlook.
Knowledge of Thompson One, Croesus, Envestnet, Compass, NetRep, and iMost.
