Job Summary
This position provides comprehensive academic and administrative support for all programs within the Faculty of Health Sciences.
Nature of Work
This position reports to the Associate Dean, Undergraduate.
Key responsibilities include supporting program administration, coordinating administrative processes and submissions, curating content, and ensuring the timely dissemination of Faculty activities, achievements, and news across social media, the website, and other communication platforms.
Responsibilities & Accountability
Program Support
- Acts as a first point of contact for FHSc programs, responding to general inquiries and requests, triaging academic consideration documentation and connecting with appropriate personnel as required.
- Co-ordinates academic administrative processes for the Faculty – liaising with other departments as needed – including but not limited to transfer credit, change of program, re-admission, grade appeal, change of grade processes, degree audits, and final exam requirements.
- Coordinates the administration of the Academic Consideration process.
- Supports the Academic Misconduct process including filling out forms, gathering appropriate documentation, scheduling meetings with committees / students, and communication of findings.
- Organizes and maintains accurate, current, and important records of student information data.
- Assists with filling out forms, scheduling meetings, and communicating with students / instructors.
Communications / Marketing / Website / Social Media / Recruitment
Coordinates all Faculty communications and marketing activities including newsletters, weekly report submissions and activity reports.Manages all Faculty social media accounts and represents the Faculty on the university’s Social Media Committee.Curates content, schedules posts aligned with Faculty events and priorities, monitors and responds to comments.Oversees the Faculty and related websites to ensure quality and alignment with brand, style guidelines, and accessibility standards.Assists in the creation of multimedia materials to support programs.Produces recruitment material to highlight faculty research, programs, etc.Develops and updates promotional material including viewbook and Faculty-specific marketing information and stories.Maintains the Faculty and related websites that are linked with the institution's website.Assists with event planning, including recruitment and Faculty events.Provides guidance on best practices for workshop, in-person and virtual event deliveries.Required Skills
Demonstrated knowledge of an academic environment including curriculum progression, program maps, scheduling, academic integrity, etc.Working knowledge of web applications and previous experience with Banner, Curriculog / Acalog, Syllabyzer, and Cascade CMS would be considered an asset.Working knowledge and understanding of social media platforms, website structure, content management systems and HTML.Ability to communicate effectively and professionally with a wide variety of individuals both internal and external to the Faculty and University.Ability to work both independently and collaboratively.Problem‑solving skills; using effective and creative strategies; flexibility and adaptability to deal with multiple priorities in a diverse setting.Strong written and verbal communication skills; proficient in MS‑Word, MS‑Outlook, MS‑Excel, MS‑Publisher and social media platforms. A willingness and the ability to learn other computer software packages as required.Software skills in the creation of content (video, image, audio).Required Education
Completion of a formal post‑secondary program of at least two academic years.Post‑secondary education in Communications, Marketing, Public Relations, or a related field is preferred.Verification of Academic credentials may be required.Required Experience
Minimum 1 to 3 years of experience.A minimum of one year of related successful experience in a university environment.A minimum of one year of successful direct experience in communications, media relations, public relations or marketing.Previous experience in, or advanced knowledge of, a Bachelor of Health Sciences program is an asset.Experience building and maintaining a strategic social media engagement plan.How to Apply
