The Opportunity
The incumbent provides office support to the Division of Clinical Genomics and the Department of Pathology and Laboratory Medicine within IWK Health Centre.
The incumbent functions as a primary point of contact for the Division responding to general information requests related to the office, or referring calls to others as appropriate.
Provides confidential administrative service with high quality of organizational and communication skills to assist and support the Division in ensuring the effective and efficient operation of the office on a daily basis.
Provides assistance to the lab quality management system. Also including but not limited to :
Enters demographic patient data / test results and generates / distributes patient reports
Uses SMS database to generate monthly billing and workload reports; develops database searches as required
Answers telephone, retrieves messages and redirects calls to appropriate personnel
Types various documents and correspondence that may include : reviews, reports, papers, grant applications, spread sheets, presentations, lectures and protocols, etc
Answers / refers phone calls, relaying messages with follow up, as appropriate
Processes incoming / outgoing mail

Your Qualifications
- Minimum High School Diploma or G.E.D. required.
- Graduate of a recognized Secretarial or Office Administration Diploma Program required.
- Minimum six months experience in a related administrative / clerical role required. A combination of equivalent education and experience may be considered.
- High regard for quality and attention to detail required.
- Keyboard skills 60 wpm required.
- Experience with Access Database preferred
- Advanced working knowledge of Windows operating system, MS Office, and other software applications
- Advanced working knowledge of Excel.
- Competent in the use of various office equipment (e.g. fax, copier) required.
- Excellent planning, organizational, prioritization and time management skills required.
- Self-motivated with the ability to work with minimal supervision required.
- Competency in other languages considered an asset, French preferred.
