Victor Energy is seeking a Project Document Controller to support Transmission Line and Substation EPC projects in Canada. The job is primarily administrative but will also involve providing document control leadership and expertise to our corporate stakeholders, project teams and clients. The ideal candidate must be a self-starter, capable of working well both independently and in teams, should be detail-oriented and comfortable communicating all issues clearly to various members of the project team, and have a high level of technical proficiency with Document Control Processes and Systems. This is an office-based position located in Vancouver, Calgary or our Nisku, AB office.

KEY (CORE) DUTIES AND RESPONSIBILITIES
Maintaining Digital Document Management System
- Ensuring that all project documentation submitted to the company document control system by project team members is correctly coded and filed in a timely manner
- Ensuring quality of information contained in the company document control system
- Documents are correctly and completed coded with the appropriate meta data,
- Documents presented in M-Files are the most current version
- Prevention of document duplication
- Identify and report deficiencies and / or problems with the company document management system
Document Controls Operations
Assisting team members with locating documents, answering document control related questions, and resolving service issues in a timely and professional mannerManage formal communications transmittals with external stakeholdersProvide front-line system user support and trainingIdentifying and communicating to the Java Holdings Ltd. Director, Systems issues that impact the delivery of successful Document Controls programDocument Control Processes and Procedures
Support the development, standardization, and operational execution of document control processes and proceduresProvide training and support to stakeholders on document control processes and proceduresKSA’S (KNOWLEDGE, SKILLS, AND ABILITIES, and PERSONAL ATTRIBUTES) :

Minimum 5 years document control supporting construction projectsExperience with maintaining a digital document management systemCollege or University Diploma / Degree preferably in Administration, Information Management, or Records Management is preferredSpecific experience with Engineering and Construction document management is an assetHighly proficient with the Microsoft suite of Office applications, and Adobe PDF.Benefits
