Position : Quality Documentation Specialist (COA)

Location : Vaudreuil-Dorion, Quebec or Burlington or Oakville, Ontario

Workplace Flexibility : We require a minimum presence of 2 days / week in office

Status : Contract – 18-months (maternity leave replacement)

We’re seeking a detail-oriented professional to join our Quality Documentation team (COA Group). In this role, you’ll collaborate closely with internal teams and play a critical part in ensuring product excellence. Your primary responsibility will be to review and approve Certificates of Analysis (COAs) for product releases, maintaining the highest standards of quality and compliance.

What would be your main responsibilities as a Quality Documentation Specialist ? :

  • Responsible for reviewing and approving Certificate of Analysis (COAs) for the release of products
  • Maintain and update all tracking lists used for managing COAs
  • Work with the quality team, commercial team (PS, CSR, AMs, PMs) and vendors to address any COA issues and / or changes
  • Provide support to the quality team for various processes as needed
  • Assist in creating and processing CASEs, forms and questionnaires using Salesforce
  • Assist in reviewing, approving, maintaining and uploading documents in TraceGains (document management system) as needed
  • Assist in completing forms and questionnaires and other document requirements requested by customers
  • Collaborate with all functional groups / departments if issues with regards to documentation requirements
  • Assist in the development of documentation standards and procedures around COAs and other requirements
  • Assist the compliance team with regards to complaints as required

The ideal candidate will have the following qualifications and skills :

  • Bachelor's degree in science, with a strong preference for specializations in food, pharmacy, or chemistry
  • A minimum of 2 years working with document control systems or quality management systems, with added value from hands-on experience in manufacturing environment and quality-driven projects
  • Advanced computer skills and the confidence to thrive in a highly digital workspace
  • Exceptional focus on accuracy and ensuring precision in all task and processes
  • Strong verbal and written communication abilities to convey ideas effectively
  • Demonstrated ability to anticipate issues and take initiatives to address them promptly
  • Outstanding organizational capabilities with ability to manager competing priorities seamlessly
  • Strong analytical skills to evaluate and interpret information
  • Comfort in working in a dynamic, fast-paced environment, handling multiple taks with efficiency

    The annual base pay range for this position is reasonably expected to be $43, 600 to $65,400. Please note that the base pay shown is a guideline, and individual total compensation will vary based on factors such as job-related knowledge, skills, education, and experience.

    Base salary is only a part of the total rewards package - this role will also be eligible for a generous incentive program and benefits. Quadra’s salary ranges are benchmarked and are determined by role and level. Please note that the base pay shown qualifications, skill level, competencies, and work location.
