Order Administrator (Expediting)

Reporting : The Order Administrator reports to the Procurement Manager and manages all aspects of high‑dollar project purchase contracts, ensuring delivery dates are achieved and contract changes meet budgetary, technical and QA requirements.
Location : Mississauga, ON.
Your Role Within The Team
- Administer complex procurement packages, “Nuclear Island”.
- Conduct supplier kick‑off and contract review meetings.
- Process design changes and issue change orders.
- Coordinate and interface with key PO stakeholders (engineering, project manager, project controls, finance, procurement QA, document control, logistics).
- Review and approve invoices and milestone payments.
- Provide monthly project forecasts against purchase orders.
- Provide monthly accruals to project controls.
- Mentor expeditors on smaller projects where no procurement lead is dedicated.
- Conduct PO closeout activity and vendor performance.
- Participate in key negotiations with suppliers.
- Coordinate with logistics to move materials to site.
- Handle material‑management claims (overage, shortage, damage).
- Handle returns and rework as applicable.
- Handle warranty claims with suppliers on behalf of the project.
- Interface with client or regulatory bodies during manufacturing as applicable.

Post‑secondary degree.SCMP designation an asset.Minimum 10 years of experience expediting complex procurement packages in similar industries (oil & gas, aerospace, defence).Knowledge of long‑lead, complex manufacturing and experience at supplier facilities.Experience with complex PO structure, material demand, contractual engineering deliverables, contract terms and conditions.Experience in supplier negotiations.Experience in quality program standards and processes related to supply chain.Experience in vendor performance management.Knowledge of financial systems, invoicing and milestone payments over long‑term contracts.May be required to mentor junior purchasing staff.Must be able to make decisions regarding contract or manufacturing issues throughout execution.Travel to supplier and project sites is mandatory.Hybrid working environment.Are you up for this challenge?
