Position Summary

We are seeking a detail-oriented and organized Logistics / Office Coordinator to provide comprehensive administrative and logistical support to the Plant Manager and Logistics Manager. This role will handle a variety of clerical tasks, coordinate shipping and logistics activities, and maintain accurate records for production, inventory, and safety. The ideal candidate will thrive in a dynamic environment, demonstrating exceptional organizational skills and a proactive approach to problem-solving.

Duties And Responsibilities

  • Answer and direct phone calls to the appropriate departments or individuals.
  • Maintain and organize customer, employee, and production files, as well as safety documentation.
  • Ensure employee forms are up-to-date and easily accessible.
  • Monitor and maintain office supply levels to support smooth daily operations.
  • Update and manage the shipping calendar, scheduling outbound loads for multiple locations and 3rd-party suppliers.
  • Review orders and fulfillment details to ensure accuracy and completeness.
  • Prepare shipping documents in compliance with company standards.
  • Complete and send customer invoices in a timely and efficient manner.
  • Issue carrier purchase orders and ensure proper documentation.
  • Maintain and update tracking sheets for production and inventory.
  • Monitor and ensure adequate supplies of production and safety forms.
  • Record raw inventory receipts in Great Plains.
  • Enter daily production data accurately into Great Plains to ensure real-time visibility.

Experience Requirements

  • Minimum 2 years of experience in administrative, office coordination, or logistics roles.
  • Experience with inventory tracking and shipping documentation preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with ERP systems such as Great Plains is highly desirable.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to organize workload and determine priority of tasks to be completed; ability to handle multiple projects simultaneously.
  • Ability to meet deadlines in a fast-paced quickly changing environment.
  • Strong attention to detail.
  • Demonstrated ability to recognize opportunities for process improvement.
  • Language Skills

  • Ability to read, write, and speak English.

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • May require more than 40 hours per week to perform the essential duties of the position.
