Position Summary

Reporting to the Venue Services Manager the Service Coordinator is a service minded individual with excellent organizational skills. An independent worker, the Service Coordinator, establishes work priorities to meet deadlines, exercises judgment and discretion in the handling of all department-related materials, and provides excellent customer service to internal and external clients. This position involves a wide variety of coordination and administrative functions involving confidential and time sensitive materials.

The Service Coordinator positions available are casual-part-time positions that will require the successful candidate to work flexible hours throughout the week. Scheduled hours may be 0 – 40 hours per week with no guarantee of hours based on the operational needs of the team.

More than one position will be filled from this competition.

Responsibilities

Responsibilities of this role include, but are not limited to :

  • Support and assist the department / organization with year-round programs, projects and events
  • Ensure all internal and external work is processed, scheduled, monitored and fulfilled accurately promptly and efficiently
  • Demonstrate an understanding of the mechanics and theory of product and services delivered by the Venue Services team.
  • Facilitate and coordinate with the Sales and Events team to ensure work required by the Venue Services team is communicated to ensure the work is completed and deadlines are met
  • Represent the department at a variety of internal meetings
  • Coordinate and facilitate creation, issuing, re-issuing and closing of service orders as well as month end procedures
  • Manage a variety of administrative tasks including, but not limited to, mail distribution, agenda creation, recording minutes, data entry and the development of presentations, written communications and reports

Qualifications

The ideal candidate will be proactive, optimistic and have the ability to multi-task. They will have the ability to work in a dynamic environment where they have experience delivering on multiple priorities and will hold the following qualifications :

  • Minimum 2 years’ experience in administrative support
  • Strong organizational skills
  • Experience using Smartsheet
  • Advanced Knowledge of MS Office Suite
  • Excellent interpersonal and communication skills required to convey relevant project information to stakeholders, both internal and external
  • Attention to detail and a high level of accuracy
  • Able to work independently and within a team environment
  • High level of confidentiality
