What You’ll Do :
Reporting to the Manager of Early Intervention, GL&DC, you’ll be responsible for handling all member intake screenings, workload assignment and providing administrative support to the Early Intervention Rehabilitation Consultants (EIRC).
This will include initial phone screening to assess eligibility and candidacy for the Early Intervention program, scheduling appointments for EIRCs and administrative tasks in support of the Early Intervention team.
The Group Life & Disability Early Intervention Program Coordinator will also handle general inquiries about the program and maintain records for program metrics.
The core parts of your role will be to :
- Act as the member’s first point of contact with OTIP’s Early Intervention (EI) program. This includes contacting members to complete initial screening to determine eligibility and candidacy for the EI Program and will require interviewing members, seeking out and clarifying information and probing as necessary.
- Determine if further member contact is required and schedule an appointment with the EIRC.
- Create, coordinate and mail out EI correspondence to members and service providers including, but not limited to, introductory letters, follow up letters, program brochures, service provider agreements and funding letters.
- Complete data entry, maintain file information on internal systems and handle workload and workflow using claim management software.
- Handle complex EI invoice questions from members and providers and initiate payment of invoices through Docsnet.
- Contact Service Providers on behalf of EIRC and / or Members to establish third party invoicing arrangements.
- Determine, based on the outcome of the screening call with the member, which template(s) the EIRC may require for their work on the file.
Prepare claim files for the EIRCs by ensuring applicable templates are indexed into the appropriate files and adding additional items to the file on the direction from the EIRC.
- Prepare and send out EI outcome communication to the union and / or school board representatives or other stakeholders.
- Provide assistance and support to union representatives regarding the EI program and related processes.
- Provide additional administrative support to EI team and greater GL&DC team, as required.
- Perform other duties within competence, as assigned.
Qualifications

- Minimum of two years of experience in a related field and / or post-secondary training in administration, insurance or medical terminology.
- Intermediate knowledge of Microsoft Office Suite applications, especially Outlook, Word and Excel.
- Exceptional communication skills and the demonstrated ability to deal effectively with all levels of internal and external stakeholders.
- Strong analytical skills and the ability to investigate issues in order to determine eligibility under a defined set of criteria.
- Superior time-management, project-management and organizational skills to manage competing priorities.
- The ability to communicate in French is considered an asset.
Working Conditions :
- General office environment.
- May be required to work overtime.
