Service Coordinator

This role is responsible for scheduling work for the shop, ensuring the shop is streamlined and customer focused day to day.
Specific responsibilities include :
Manage the main service phone line and counter, responding to customer inquiries and providing updates on repairs, maintenance, invoicing, and unit readiness.
Maintain accurate daily trailer inventory, including check ins / outs, inbound verification, returns / repairs documentation, and required reporting.
Create, update, prioritize, and close work orders for repairs, chargebacks, mobile service calls, reversals, and rebills using proper coding.
Coordinate repair priorities and workflow with the Lead Hand, Service Manager, Operations Team, and technicians.
Dispatch mobile service calls, review and audit mobile work orders, upload photos, and send completion communications.
Process rental documentation, obtain customer signatures, upload files, manage invoicing requests, and complete related administrative tasks.
Support compliance and administrative functions including MVI updates, onboarding service employees, managing allowances, ordering license plates, and maintaining accurate service documentation.
Qualifications :
2-4 years of experience in service coordination, Trailer / transportation experience or similar role
Experience working with work orders, inventory systems, or fleet management software is an asset.
Prior experience in a fast paced service or operations environment is strongly preferred.
Proficiency with Microsoft Office Suite (Excel, Outlook, Word) and ability to learn new systems quickly.
Experience with ERP, service management, or inventory software
Excellent verbal and written communication skills with the ability to interact professionally with customers, technicians, and internal teams.
Strong customer service orientation, able to handle inquiries, provide updates, and resolve issues promptly.
