ABOUT THE POSITION

Your day-to-day responsibilities will include :

  • Being the principle point of contact for assigned Agents, assuming overall accountability for work requested involving key members of the support team, such as Clerks, Document Specialists, Administrative Assistants and members of the Business Services team
  • Actively participating as a contributing member of the team to support and proactively organizing the flow of work for specific Agents in the Patents Intellectual Property practice
  • Coordinating the scheduling of important dates including client meetings, conferences, and Agent and team meetings
  • Being accountable for correspondence, documents, reports, presentations etc. produced by the Document Production team before they are passed to the relevant Agent and undertake amendments where appropriate
  • Diligently monitoring Agent daily diaries
  • Supporting and coordinating commercial management activities such as matter intake, billing and collections
  • Supporting Agents in marketing activities including involvement in preparation of pitches and presentations
  • Providing day to day support as required to meet the needs of our Agents and provide excellent client service

THE REQUIREMENTS

  • Legal Assistant Diploma or equivalent experience
  • Strong written and oral communication
  • Minimum 3 5 years of experience relevant experience as an IP Assistant supporting Patent Agents / Lawyers
  • Proficiency in MS Office including Word, Outlook, Excel, PowerPoint, research tools and other systems
  • Familiarity with document management systems (iManage) considered an asset
  • Ability to communicate in a professional manner with clients and lawyers
  • Ability to interact professionally with clients and all members of the firm
  • Committed to furthering their knowledge to remain up-to-date on current technology and best practices
  • Strong organizational skills and time management skills
  • Detail-oriented individual with good proofreading skills
  • Excellent multi-tasking skills
  • Ability to follow instructions with minimal supervision and take initiative
  • Able to set priorities while maintaining flexibility
  • A team player with excellent interpersonal skills

COMPENSATION

  • $60,000 $75,000 (depending on experience)
