About the Role
We are seeking a highly organized Project Data Management (PDM) Coordinator / Document Controller to support global projects and studies within a central Project Delivery function. Based in Montreal, you will deliver efficient, timely, and high-quality document management services across diverse teams, time zones, and geographies.
This is an excellent opportunity for a collaborative team player with strong stakeholder engagement skills, leadership ability, and a deep understanding of document control processes. You will also contribute to project setup, contractor onboarding, process improvements, and continuous improvement initiatives.
Document Control & Quality
- Ensure accurate, timely, and compliant control of all project documentation.
- Perform quality control and verification of deliverables from contractors and engineering service providers.
- Track, follow up and expedite pending deliverables and RFI documentation.
- Maintain and streamline document distribution matrices and access requests.
- Support project setup and handover planning activities.
Stakeholder Engagement & Support
Provide training and technical support to internal and external stakeholders.Conduct ongoing system training (InEight, SharePoint) for project teams.Participate in project coordination meetings and follow up on action items.Role-model strong stakeholder responsiveness within 24 hours.Onboard, coach, and support junior Document Controllers.Oversee team workload and report progress to the PDM Lead.Conduct fortnightly contractor check-ins and monthly CDS reviews.Produce and distribute weekly expediting and status reports.Manage reporting, data cleansing, and documentation updates with the PDM Lead.Identify opportunities for process improvement and support CI initiatives.Collaborate with project peers through regular face-to-face engagement.What You Bring
Minimum 5 years of experience in Document Control on large-scale projects.Experience supervising or mentoring small to medium document control teams.Strong understanding of Document Control systems, processes, and project lifecycle management.Previous experience with project setup, contractor onboarding, close-out & handover.Proven ability to manage suppliers, contractors, and vendor documentation.Excellent communication, collaboration, and stakeholder engagement skills.Ability to excel in a fast-paced environment and manage multiple priorities.Proficiency in SharePoint, InEight, and MS Office .Nice to Have
Document Control experience across full project lifecycle (from study to handover).Experience working onsite or supporting site-based project teams.Familiarity with InEight Document and advanced SharePoint functionalities.Work Arrangement
Full-time, 40 hours per week .Minimum 4 days in office for collaboration with project teams; 1 day remote flexibility.Seniority level
