Job Description

The office of Angelo Iacono, the Member of Parliament for Alfred-Pellan, is seeking an executive assistant for his constituency office. The incumbent reports to the Member and provides a wide range of executive and administrative support services, plays an essential role in the day-to-day running of the office and provides vital support to the Member. The ideal candidate is proactive, is perfectly bilingual, has exceptional communications skills and thrives in a dynamic work environment.

Duties and responsibilities

  • Provides various administrative and / or operational services to the Member and his staff to ensure day-to-day activities run smoothly.
  • Identifies, develops and implements administrative processes and procedures that support the Member’s office activities.
  • Manages budgets for the Member while ensuring that House of Commons rules and policies are strictly followed.
  • Formats complex documents, including forms, memos, minutes, reports and presentations.
  • Researches various topics, compiles data and prepares reports, as required.
  • Maintains and ensures accuracy and consistency of the CRM database.
  • Maintains the Member’s schedule, reviews and discusses his commitments, schedules meeting / events and informs him of any changes, and makes sure relevant rules and guidelines are respected.
  • Develops and implements strategies to engage with the community and builds relationships with local officials, businesses and organizations.
  • Represents the Member professionally and effectively in interactions with constituents and provides quality customer service.

Qualifications

Qualifications and skills

  • Successful completion of post-secondary education from a recognized institution OR acceptable combination of education, training and relevant experience.
  • Experience working in an office in an administrative support position.
  • Knowledge of administrative methods, techniques and practices.
  • Proficiency with Microsoft Word, Excel, PowerPoint and Outlook.
  • Excellent communications skills and command of written French.
  • Tact, diplomacy, high degree of discretion and skill in building and maintaining professional work relationships.
  • Assets

  • Knowledge of the political environment is an asset.
  • Bilingualism is imperative.
