Position Overview
We are seeking a proactive and adaptable Executive Assistant who embodies a unique blend of administrative expertise, bookkeeping skills, and executive support abilities.
This is a key role with diverse responsibilities, requiring someone with exceptional organizational skills and a problem-solving mindset who thrives in a team-oriented environment.
The ideal candidate should have a friendly personality, be highly collaborative, and display a go-getter attitude.
Although you do not need experience as an executive assistant, personality and attitude is at the forefront for the hiring team and will be taken into considering before everything else.
Key Responsibilities
- Executive Support : Provide executive-level assistance to management, ensuring smooth daily operations and acting as a reliable point of contact within the company.
- Bookkeeping : Assist with invoicing, processing bills, preparing expense reports, and managing simple accounts payable / receivable for a small number of clients and transactions.
- Administrative Duties : Oversee expense tracking, coordinate logistics, and shipping, and support travel arrangements between U.
S. and Canadian offices.
Event Coordination : Attend U.S. based conferences about four times a year (sometimes at only 2 weeks’ notice), facilitating coordination between the Canadian and U.
S. teams and putting boots on the ground at conferences to ensure smooth operations.
Tech & Problem-Solving : Support the tech-savvy team by being resourceful, adaptable, and capable of troubleshooting issues as they arise.
Qualifications
- Experience with QuickBooks (an asset, though not mandatory).
- Strong Communication Skills in English (spoken and written). You will be dealing with 100% US Clientele.
- Ability to travel to the U.S. up to 4 times per year for events. (Must be allowed to travel into the USA without prior visa issued)
- Proven ability to work autonomously yet collaboratively in a close-knit environment.
- Attention to Detail and Problem-Solving Skills with a proactive, "can-do" attitude.
- Somewhat tech-savvy and comfortable working with a team of tech professionals.
