Position : Distribution & Reception Coordinator
Department : Distribution and Reception
Compensation : $40,500 annually Hours : Monday Friday 35 hrs / wk (including one hour for lunch, permanent, full-time, with benefits available after three months)
Reporting to : Distribution Supervisor and Reception Supervisor
Distribution Responsibilities
- Sort and distribute postal mail, interoffice, couriers and parcels
- Deliver postal mail and print projects throughout the site
- Coordinate and prepare projects for printing from start to delivery; electronic file conversion, document scanning and enhancement
- Download jobs from email or print queue, sizing, reproducing, sorting and finishing
- Establish and maintain quality controls to ensure work accuracy
- Respond to first level phone calls from end users of photocopy equipment to determine problem, clear paper jams, run test copies and determine status of copier
- Replace photocopier toner, stock paper and maintain cleanliness of workspace
- Run reports as needed
Reception Responsiblities
- Cover Reception area daily lunch breaks and additionally, in coordination with both Distribution Supervisor and Reception Supervisor, cover Reception as required
- Provide front line security for backstage admittance; ensure visitors sign in, wear Shaw visitor’s badge
- Answer telephone calls, greet company members, patrons and visitors in backstage area
- Use an internal paging system to make company announcements as required
- Troubleshoot basic telephone issues; voice mail, console, telephone, conference calling
- Assist in maintaining patron addresses in the Tessitura constituent database
- Assist with parcel deliveries, lost and found.
Qualifications
- High School Diploma or equivalent work experience
- Experience working in a mail room, copy centre, customer service or reception role
Skills
- Excellent interpersonal skills with the ability to quickly develop business relationships
- Strong self-motivation to drive results
- Excellent communication skills both verbal and written
- Ability to remain confidential and discreet
- Effective use of Microsoft Office
- Ability to lift 30+lbs. as necessary
- Eligible for Canadian Passport to travel to the U.S.A
