The position will start off as Remote, Work from Home with occasional travel to our retirement residences and head office in Markham, ON. This will be subject to change to Hybrid (3x a week at head office) in the future.
What You Will Be Doing : Reporting into Director, Workforce Management & Business Systems / Business Operations Partner, the Manager, Scheduling & Operations – Retirement Living is a critical role within our Retirement Division as it impacts the lives of our residents through the strong leadership and motivation of Sienna team members. This is an individual contributor role providing exceptional service leadership to our retirement portfolio (37 residences) who will collaborate with key stakeholders to drive the efficiency and effectiveness of our workforce management solution.
Key Responsibilities :
Provide project coordination support to implement and increase the adoption of the workforce management solution across the retirement portfolioOversee and lead all components of scheduling, payroll submissions, call-out, time-clocks, recruiting, onboarding, process hire and core functions within the designated systems based on a regional assignmentProvide coverage and act as a back up to Retirement Site Champions / Leads including being familiar with all regional scheduling, collective agreement and hiring protocolResponsible for managing the completeness and accuracy of the residences’ bi-weekly payroll submissions, as well as for submitting off-cycle payroll requests to the Shared Services TeamNotify team members of benefits enrollment and follow up with team member who’s benefits changeProvide continuous training, leadership, coaching and support to the Site Champions / Leads for our retirement residencesProvide support to the Site Champions / Leads on all recruiting, onboarding, process hire, core and benefitsProvide weekly on-line training sessions to new team members on how to put in availability, time – off request, view schedule, view pay statements, PTO plans, call out process, systems navigation, surge online learning and any areas related to self-self within 1 week of hirePerform other duties as assignedQualifications Required :
Bachelor’s degree and / or Diploma or Certificate or relevant experienceExperience scheduling within the health care industry is a huge bonus but not requiredMust have a minimum of 3-5 years scheduling, time & attendance and pay administrationExperience with understanding collective bargaining agreements (CBAs)Proficiency with MS Office, Outlook, Word and ExcelMust demonstrate leadership experience in client centric communicationAbility to coach, mentor and manage a teamExceptional problem solving, analytical, strategic and critical thinking skillsExcellent interpersonal, verbal and presentation skillsDemonstrated organizational and time management skills and ability to prioritize tasks in a complex, fast-paced environmentDemonstrated attention to detail in day-to-day work with a focus on quality of work, accuracy and serviceExperience working with different levels of management and operationsEffective verbal and written English communication skillsWhat you need to know :
