Overview
Job Title: Wedding and Event Sales Coordinator, Island Lake Lodge — based in our downtown office. The ideal candidate is highly organized with strong phone and email etiquette, excellent communication and customer-service skills, and keen attention to detail. This role requires building and maintaining relationships with guests and colleagues.
Responsibilities
- Drive lead generation through focused sales efforts, including trade shows, website inquiries, blogs, social media, database management, and email campaigns.
- Prepare and manage quotes and contracts for inquiries and confirmed bookings.
- Conduct trend analysis to identify current and emerging wedding markets locally and within the broader industry.
- Design optimal events tailored to client needs while aligning with Island Lake Lodge’s capabilities and offerings.
- Collaborate closely with vendors, partners, and Island Lake Lodge operations to ensure events are well planned, clearly communicated, and successfully executed.
- Lead and oversee weddings and events at the lodge, with support from the on-site team; be present on location as required for event execution.
- Work closely with the Reservations department to ensure lodging and package details are clearly understood and efficiently booked (Weddings, Summer FIT, and Winter stays). Develop a strong working knowledge of support systems, including Maestro and Silverware.
- Assist with the distribution of marketing materials and the maintenance of client databases.
- Become familiar with skiing terminology and gain an understanding of Island Lake Lodge’s terrain and offerings.
- Demonstrate a collaborative, team-oriented approach that contributes to the overall success of Island Lake Lodge.
Skills and Experience Required
- Highly organized, detail-oriented, outgoing, and patient, with the ability to work closely with both clients and team members.
- Minimum of two years of sales experience.
- Proven experience in event planning and coordination.
- Excellent communication, organization, and follow-up skills.
- Self-motivated with the ability to work independently and manage competing priorities.
- Demonstrates consistent professionalism, strong judgment, and attention to detail.
- Strong computer skills, with proficiency in Microsoft Office applications.
- Experience with Property Management Systems or hotel reservation software is considered an asset.
- Able to work evenings and weekends as required to execute contracted weddings and events. Must be available full-time during peak wedding and event seasons, including weekends.
- Experience and knowledge of food and beverage and the tourism industry.
