Forge Recruitment is currently partnering with a large international law firm to recruit a Corporate Legal Assistant for its Toronto office. This firm is known for its collaborative culture, high-performing legal teams, and commitment to professional development.
This opportunity sits within the Corporate Service group and offers the chance to work closely with experienced lawyers in a dynamic and fast-paced legal environment.
This is a newly created position supporting a small team of lawyers within a busy corporate practice. The successful candidate will play an integral role in ensuring the smooth operation of the practice by providing both administrative and substantive legal support.
This role offers a hybrid working schedule, with three days per week required in the office. The successful candidate will work onsite during the first month to facilitate onboarding and training.
Managing file openings, engagement letters, and client identification and verification requirements
Maintaining file management systems and bring-forward systems
Preparing, editing, and formatting correspondence, memos, reports, and legal documentation
Creating and maintaining templates and precedents
Managing lawyers' calendars and coordinating meetings and conferences
Greeting clients and coordinating distribution of meeting materials
Capturing and entering lawyers' time into the firm's accounting system
Supporting document workflow including printing, scanning, merging, and distribution of materials
Assisting with billing processes, trust transactions, and related accounting matters
Coordinating travel arrangements including transportation, accommodations, and related logistics
Preparing expense reports and cheque requests
Providing additional administrative support as required to meet operational needs
Competitive salary range of $60,000 $80,000, commensurate with experience

Qualifications include:
3+ years of experience as a Corporate Legal Assistant, preferably within a law firm
Diploma or certification in legal administration considered an asset
Previous experience supporting corporate lawyers
Foreign legal training or law degree considered an asset
Strong technical proficiency with Microsoft Office, particularly Word and Outlook
Intermediate to advanced Excel skills considered an asset
Experience with closing files or transaction support considered an asset
Excellent written and verbal communication skills with the ability to interact professionally with clients and lawyers
Strong organizational and time management skills with the ability to manage multiple deadlines
Ability to work both independently and collaboratively within a team environment
Demonstrated professionalism, discretion, and commitment to maintaining confidentiality
