SUMMARY : The Human Resources Coordinator is responsible for entering new employee information into SAP and processing employee master data changes accurately for all unionized employees at the Ontario Distribution Centres. This role includes SAP data entry for non-union employees, interacting with Service Canada, acting as a back-up for the Payroll Supervisor, supervising department staff, and resolving daily issues. The coordinator creates weekly reports to communicate with Pension, Benefits, Payroll Montreal, Distribution Operations, and for audits.
SPECIFIC RESPONSIBILITIES :
Daily processing of SAP employee maintenance, including new hires, terminations, position changes, address updates, and conversions between part-time and full-time statuses, with related reporting and communication.Enter new swipe card profiles weekly in Asure ID system.Process weekly rate changes for hourly employees in Toronto & Ottawa, review data accuracy, and correct SAP entries; spot check Kronos for correct rate interfacing.Track employee leaves, ensure proper processing and documentation for leaves and returns.Process Leave of Absence transactions in SAP, including ESA and personal leaves for non-union employees.Monitor mailboxes for paperwork and queries related to hires, terminations, payroll, etc.Enter safety shoe data in SAP for non-union employees.Generate and distribute weekly Infotype 19 reports for non-union and Ottawa employees.Ensure all HR and payroll transactions are authorized and meet audit standards, including relief pay and building payments.Handle Service Canada inquiries and documentation for ROE, including quarterly surveys.Monitor compliance for employees with SIN and work / study permits, auditing and updating permits and reports.Respond to internal customer needs, ensuring payroll and HR system integrity for Toronto and Ottawa DCs.Manage onboarding processes for union and non-union employees, including orientation and documentation.Maintain accurate and timely updates for leaves and attendance reviews.Back up Payroll Supervisor for grievance settlements and payroll cheque preparation.Support implementation of contract ratifications, testing, and rate adjustments in SAP.Assist with distribution payroll inquiries and processing.Manage master data changes, protocols, and SAP tickets related to HR.Assist in creating vacation entitlement reports and maintaining employee files.Support department projects as needed.QUALIFICATIONS :
College Diploma in Human Resources Management; CHRM / CHRP and CPM Payroll Certification are assets.3-5 years relevant experience, preferably in a unionized environment.Excellent communication, interpersonal, time management, and organizational skills.Proficiency in Microsoft Office, knowledge of Kronos and SAP is an asset.Strong mathematical skills, ability to interpret Collective Agreements, policies, and legislation.Professional confidentiality and ability to prioritize and multitask under deadlines.Problem-solving skills, ability to work independently, and handle stress professionally.Leadership qualities to coach and motivate teams.Note : Responsibilities may evolve to meet business needs.
