Position Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative and operational support to senior leadership. The Executive Assistant will play a critical role in ensuring the smooth day-to-day functioning of executive activities, managing priorities, and acting as a trusted point of contact for executive communications and team coordination.


Key Responsibilities

  • Provide comprehensive administrative support to senior executives, including calendar management, scheduling meetings, and coordinating travel arrangements
  • Prepare, edit, and format correspondence, presentations, reports, and meeting materials
  • Act as a primary point of contact between executives and internal teams, partners, and external stakeholders
  • Manage and prioritize incoming communications (email, calls, requests) with discretion and professionalism
  • Coordinate meetings, including agenda preparation, minute-taking, and follow-ups
  • Maintain organized digital and physical filing systems, ensuring confidentiality of sensitive information
  • Support office operations and contribute to process improvements to enhance efficiency
  • Assist with expense reports, invoices, and other administrative documentation


Qualifications & Experience

  • 3+ years of experience as an Executive Assistant, Senior Administrative Assistant, or similar role
  • Strong organizational and time-management skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and attention to detail
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with other productivity tools is an asset
  • Ability to work independently, anticipate needs, and problem-solve proactively
  • Experience in real estate, finance, professional services, or a fast-paced corporate environment is an asset

Sommaire du poste

Nous sommes à la recherche d’un(e) adjoint(e) de direction hautement organisé(e), proactif(ve) et rigoureux(se) afin d’offrir un soutien administratif et opérationnel de haut niveau à la haute direction. L’adjoint(e) de direction jouera un rôle clé dans le bon déroulement des activités quotidiennes des dirigeants, la gestion des priorités et agira comme point de contact de confiance pour les communications exécutives et la coordination des équipes.


Responsabilités principales

  • Fournir un soutien administratif complet aux cadres supérieurs, incluant la gestion des calendriers, la planification des réunions et la coordination des déplacements
  • Préparer, réviser et mettre en forme la correspondance, les présentations, les rapports et les documents de réunion
  • Agir comme principal point de contact entre les dirigeants et les équipes internes, partenaires et parties prenantes externes
  • Gérer et prioriser les communications entrantes (courriels, appels, demandes) avec discrétion et professionnalisme
  • Coordonner les réunions, incluant la préparation des ordres du jour, la prise de notes et les suivis
  • Maintenir des systèmes de classement numériques et physiques organisés, tout en assurant la confidentialité des informations sensibles
  • Soutenir les opérations de bureau et contribuer à l’amélioration des processus afin d’accroître l’efficacité
  • Aider à la préparation des rapports de dépenses, des factures et d’autres documents administratifs


Qualifications et expérience

  • Minimum de 3 ans d’expérience à titre d’adjoint(e) de direction, d’adjoint(e) administratif(ve) principal(e) ou dans un rôle similaire
  • Excellentes compétences en organisation et en gestion du temps, avec la capacité de gérer plusieurs priorités simultanément
  • Excellentes aptitudes en communication écrite et verbale
  • Haut niveau de professionnalisme, de discrétion et souci du détail
  • Maîtrise de la suite Microsoft Office (Outlook, Word, Excel, PowerPoint) ; la connaissance d’autres outils de productivité est un atout
  • Capacité à travailler de façon autonome, à anticiper les besoins et à résoudre les problèmes de manière proactive
  • Une expérience en immobilier, en finance, en services professionnels ou dans un environnement corporatif dynamique est un atout
