Position Summary
As Inventory Coordinator – Materials Management, you are accountable for ensuring equipment and supplies are available across the hospital. You manage inventory, provide analysis, monitor capital equipment acquisitions, act as clinical expert, support procurement, conduct clinical trials, and perform administrative functions. The role operates independently in a fast‑paced environment and supports the hospital’s academic mandate by advancing care through teaching, learning and innovation.
On a Practical Level, You Will
- Inventory and analysis; manage supply chain, capital equipment, bar coding, procurement and BSP guidelines; conduct clinical trials and impact analysis.
- Daily assessment of stock and non‑stock inventory and prepare electronic requisitions for removal and re‑ordering.
- Support internal logistics activities across sites and manage material changes within SAP.
- Coordinate inventory control functions, including receiving, depletion, and provide recommendations to the Clinical Leadership Team.
- Coordinate materials and information flow with the Buyer and Purchasing Department.
- Enter all pertinent information into the material system accurately and efficiently.
- Ensure goods received match orders, are defect‑free, and compliant with WHIMS, TDG regulations and shelf‑life requirements.
- Plan and participate in physical inventory counts per NYGH policy.
- Develop and implement a monthly cycle‑count policy, making necessary inventory adjustments.
- Negotiate with financial accounting on inventory and cycle‑count financial adjustments.
- Analyze inventory turn levels, dollar value and physical amounts, and provide recommendations to Clinical Leadership.
- Identify process improvements for inventory acquisition and relationships with Purchasing and Materials Management departments.
- Identify potential savings and recommend implementation strategies.
- Work with the Buyer to determine substitutes and facilitate product trials.
- Advise management on low stock levels and top‑up status.
Qualifications
- Degree or certificate in Business Administration preferred.
- Project Management Certificate or Diploma preferred.
- Minimum of 2 years related experience in Supply Chain preferred.
- Experience with the Material Management System: Supply Application Product (SAP).
- Experience in a computerized inventory/material management system.
- Proficiency in Microsoft Office, especially Excel.
- Physical ability to lift, push and carry heavy weights.
- Thorough understanding of RFP and procurement principles from a business and clinical perspective.
- In‑depth knowledge of capital equipment budget management processes.
- Understanding of basic business concepts and information systems related to clinical and supply chain areas.
- Experience with clinical inventory systems.
