Description

The Senior Operations Manager ensures the safe and efficient parking operations, while delivering service that exceeds our customer / client’s expectations. The Senior Operations Manager is responsible for all aspects of operating a large or complex parking facility including : staff management, revenue control, safety, and client relations.

Key Responsibilities

Personnel / Leadership – Direct Report Teams

  • Displays solid operational guidance and direction to field operations through multiple forms of communication mediums.
  • Recruit, select, and train new employees; develop onboarding plans for new employees to ensure success.
  • Personnel actions such as hiring, promotions, terminations, and disciplinary measures.
  • Provide leadership of the Patrol, Maintenance, Sign, Meter, Storefront departments, and Operations departments to ensure appropriate delivery of services.
  • Responsible for the supervision of staff including delegating, coaching / developing, monitoring performance, and ensuring compliance with all company standards.
  • Responsible for on-going performance reviews, training, and employee
  • Support in scheduling of frontline staff including maintaining and updating monthly schedule.
  • Monitor and reviews staff schedules and attendance identifying gaps and issues, providing immediate solutions for the field.
  • Supports streamlined field operations ensuring proper staffing levels and addressing staffing needs, including bringing forward recommendations for promotions, transfers or staff requirements.
  • Union Management, including responsible for liaising with the Union Business Representatives as well as attending grievance meetings when necessary. Ensuring the teams and the company are following the CBA agreement.
  • Responsible for providing staff members with all equipment and tools necessary to be able to perform their duties in the safest manner.
  • Ensure Cross training plans are in place for all positions.
  • Ensure team leads and managers in the team are using respectful communication to their reports and teammates.

Personnel / Leadership – Other Departments

  • Working with recruitment team ensuring all required positions are posted correctly for recruitment for all roles. Monitor access, train others on recruitment platforms.
  • Provide training to other departments on SSD / CSR procedures.
  • Assist in the recruiting and training of event staff.
  • Assist in the recruiting, selecting and training of site staff.
  • Coordinate with Payroll departments when required for items involving payroll.
  • Administrative

  • Responsible for day-to-day administrative duties including emails, faxes and internal correspondence. Completing and maintaining all required paperwork, records, documents, etc.
  • Oversee Payment Processing and accounts payable system locally to ensure process is followed and purchase order policy is followed.
  • Perform accounts receivable tasks on a weekly basis, including follow-up on outstanding invoices.
  • Email daily updates on payments received in the office.
  • Client / Lot Management

  • Client relationship development and retention for patrol and event locations, as well as other lots as assigned. Act as the main point of contact to Client or Property Manager through routine formal and informal meetings. and respond to client requests in order to develop and maintain a good working relationship.
  • Providing proactive information to assist in managing all assigned locations, as well as updating on past performance, new strategies, new technology or items that may improve the location. Attending meetings as required internally and externally.
  • Review profit and loss statements for all assigned locations and departments, adjustments, and variance reports on a monthly basis; make adjustments as necessary to achieve budget and departmental goals. Make ongoing recommendations for improvements to ensure departments are profitable.
  • Prepare daily, weekly, and monthly operating and department reports as required.
  • Use respectful communication to assist clients, customers, and teammates with their questions, problems, and concerns. Address escalated concerns in a timely manner.
  • Responsible for representing and promoting the company in the community, with local civic and professional groups, and seeking to develop a professional and responsible corporate image.
  • Manage all contractual deliverables to successful completion for all assigned locations and communicated operational needs from Account Management team.
  • Market the Company’s services to potential clients and customers.
  • Responsible for updating and maintaining contract records within the Contract Management System.
  • Responsible for tracking and managing damage claims and incident reports.
  • Operations

  • Supports field operations leaders by coordinating various administrative tasks and adhering to department deadlines.
  • Oversee and maintain Work Order system ensuring it is used correctly.
  • Monitor maintenance of all locations and associated premises to ensure that the garage / lot is clean, safe, and maintained to standards. Regular review of each location’s physical operating condition including but not limited to landscaping, signage, surface construction, lighting, equipment, and security and ensure correct communication and help coordinate improvements as needed to maintain.
  • Manage and complete location assessment reports and compliance. Ensure these are completed as per company guidelines and reported to the Loss Prevention department. Work with appropriate department(s) to remediate any found issues.
  • Operational Project Management – implement and supervise on-going and annual projects to ensure quality and timely completion.
  • Initiating or recommending site repairs and upgrades at all locations.
  • Drive quick resolution of critical operational issues by working with other departments and vendors on behalf of field operations.
  • Oversee and manage ticket inventory, cash flow, reports, and audits to prevent loss through theft, error, or carelessness.
  • Trending audit and operational gaps and prioritizing operational needs based on common trends.
  • Gather data and information that result in potential insights for continuous process improvement and operational optimization. Assisting in root cause analysis and creation of corrective actions
  • Develop, share, and implement any new best practices with the team on process improvements and efficiency.
  • Prepare daily, weekly, and monthly operating and department reports as required.
  • Liaising with contractors, direct reports of operations departments, equipment suppliers for all requests and operational needs.
  • Manages assigned projects while coordinating with other team members and departments when necessary.
  • Manage, obtain, and track all required Development Permits with the City of Calgary.
  • Health and Safety

  • Responsible for inspecting lots on a regular basis to ensure they are safe and operating to the company’s standards.
  • Immediately respond to reports of accidents, incidents, or safety concerns
  • Chair Health and Safety Committee and ensure health and safety procedures are followed, including booking meetings, ensuring documentation / notes and implementations.
  • Other Duties as may be assigned and modified by the manager / supervisor.

    Skills, Knowledge and Expertise

  • At least 18 years of age
  • Excellent written and oral communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience in procurement will be ideal
  • Previous supervisory experience
  • Valid drivers license
  • Previous experience in the parking industry, preferred
