Job description

Connor, Clark & Lunn Infrastructure (“CC&L Infrastructure”) is looking for an Administrative Assistant to fill an existing vacancy within our high-performing infrastructure team in Toronto. This in-person role offers the opportunity to provide high-caliber administrative support in a fast-paced, entrepreneurial environment while contributing to meaningful business initiatives. The successful candidate will demonstrate strong judgment, attention to detail, and a proactive approach, with the opportunity to grow into expanded responsibilities over time. The role is well suited to candidates who have experience with, or an interest in, enhancing processes and leveraging technology to improve efficiencies. Our offices currently operate on a hybrid model with 4 days in office.

What You Will Do

As the Administrative Assistant, you will provide essential support to the Senior Leadership team. You will also be a key contributor to the efficient functioning of the broader infrastructure team with contributions to various initiatives across our investment, asset management and investor relations teams. Responsibilities include, but are not limited to, the following:

  • Proactively manage calendars and meeting schedules, including coordinating across time zones, resolving conflicts, and sending meeting invitations.
  • Coordinate and support internal and external meetings, including room bookings, catering, A/V requirements, attendee lists, and note-taking as needed.
  • Plan and support internal and external events from preparation through execution, including agendas, materials, logistics, and follow-up actions.
  • Arrange travel for senior leaders as required, including flights, accommodations, ground transportation, and maintaining accurate itineraries within calendars.
  • Maintain and organize shared documentation, project files, and administrative processes to ensure information is accurate, accessible, and up to date; identify opportunities to improve workflows and team efficiency.
  • Collaborate with colleagues across teams, serving as a connector and resource to help navigate processes, tools, and internal systems.
  • Support onboarding activities by coordinating schedules, resources, and introductions for new team members.
  • Provide operational and technical support, including liaising with IT to help resolve issues.
  • Prepare and update presentations, reports, and summaries, and assist with documentation related to due diligence, reporting, workflows, or approvals as needed.
  • Process expense reports in a timely manner using Concur.

What You Bring

  • Experience and Education: You have a minimum of two to three years related or transferable work experience, ideally within the investment management or financial services industry and a Degree or Diploma in a related field.
  • Technical Skills: You are proficient in Microsoft Office (e.g. Teams, Word, PowerPoint, Excel, SharePoint). Knowledge of other relevant systems (e.g. DocuSign, Concur, DealCloud or Salesforce) and experience leveraging AI tools (e.g. ChatGPT, Co-pilot) effectively is an asset.
  • Communication & Collaboration: You are a positive, collaborative team player with strong communication skills. You build effective working relationships across the organization and with external partners, and handle information with professionalism and discretion.
  • Problem Solving & Continuous Improvement: You enjoy finding ways to work more efficiently and are curious about improving processes. You think creatively, stay organized, and bring a thoughtful, solutions-oriented approach to your work.
  • Initiative & Judgment: You are a motivated self-starter who is comfortable working independently while knowing when to ask questions. You demonstrate good judgment, a proactive mindset, and strong attention to detail.
  • Organization & Time Management: You are well organized and able to manage multiple tasks, calendars, and priorities at once. You adapt well to changing needs, stay focused under pressure, and consistently meet deadlines as part of a team.

The expected salary range for this position is $65,000-$75,000. The salary range provided reflects the base salary range for this position as required by legislation. In addition, there is an annual performance bonus which contributes to the total compensation for this position. Further questions may be directed to the HR team during the interview process.
