Position Summary :
As a collaborative member of the Schoolof Social and Community Services and School of Deaf and Deafblind Studies team,the incumbent will provide academic and operational support to the Manager, AcademicOperations (MAO) to support academic operation needs of the schools. Majorfunctions include facilitating database and scheduling process, assisting inthe completion of faculty assignments and human resource processes, compilingfinancial documentation, gathering information and preparing documents forbudget and financial operation planning.
Key Responsibilities :
- Works with the Associate Dean, MAO, Program Coordinators, and Database area of the Registrar’s Office to review, update and finalize the program database for each semester based on the enrolment forecast, program offerings, and program needs.
- Works with the Associate Dean, MAO, Program Coordinators, and the Scheduler to develop and finalize the scheduling worksheet including faculty assignments, scheduling program requirements specialized rooms, faculty accommodations etc.
- Submits the scheduling plan as per RO deadlines, and works with the Schedulers, Program Coordinators and Faculty to resolve timetabling issues and / or conflicts that arise.
- Works with the Associate Dean, MAO, and Program Coordinators to develop academic program mapping plans prior to database input to increase program planning and operational efficiency.
- Develops tools and reports to analyze faculty assignments to determine gaps and areas to improve workload efficiencies.
- Works with the Associate Dean to set up, prepare and distribute SWFs and teaching assignments for Contract Faculty, attaches CRNs to faculty. Submits mutually agreed SWF documents to Human Resources and the Faculty Union.
- Maintains and updates division’s IT equipment / fixed asset records.
- Supports special projects and events, including process improvement, implementation of college systems (Academic, Stu-View, Banner, etc.).
- Other related duties as assigned.
Educational andExperience Requirements :
Three-year diploma or degree or equivalent from a recognized post-secondary institution in Business Administration and related field of study with emphasis on communication and project coordination skills.Minimum three (3) years’ senior administrative experience in a post-secondary education institution.Requires excellent understanding and experience regarding academic functions, student systems, college policies and procedures, sound financial administrative experience with the ability to analyze financial information and generate reports, knowledge of relational databases and office computer systems and applications including Excel.Experience facilitating conflict resolution.Excellent customer service experience.Skills and Attributes :
