Job overview-
We are seeking an Executive Assistant who will play a pivotal role in ensuring the smooth functioning of
the President's / Owner's day to day schedule. Handling a wide range of administrative and executive support tasks. The successful candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Reports to- President / Owner
Job Duties and Responsibilities-
- Proactively manage / plan the President's schedule, appointments, meetings and presentations.
- Organize daily schedule for the President to plan out the week.
- Anticipate scheduling conflicts and prioritize commitments effectively.
- Serve as the primary point of contact between the President and internal / external stakeholders.
- Monitor, draft and proofread emails, reports, and other correspondence on behalf of the President.
- Arrange and coordinate meetings, conferences, and events, ensuring all logistical details are managed seamlessly.
- Prepare meeting agendas, materials, and follow-up documentation.
- Coordinate domestic and international travel bookings and all land arrangements for the President; manage travel rewards and bookings.
- Prepare detailed itineraries and ensure travel plans align with the President's schedule.
- Assist the President in various projects and trade shows.
- Provide research and analysis. Create expense reports and budget planning.
- Assist President with dietary needs etc; getting lunch, dinner, make tea and coffee.
- May require working evenings for client meetings or events to drive and accompany clients and President.
- Perform various ad hoc tasks as needed.
Qualifications and skills-
Minimum 10 years of Canadian work experience as an Executive Assistant or similar role supporting C-level executives.Certificate or trainings in EA or administrative assistant role is an asset.Valid Driver's License is a must.Exceptional organizational and time-management skills.Strong written and verbal communication skills.Proficient in Microsoft Office Suite and calendar management tools.Discretion and ability to handle confidential information with sensitivity.Willingness to occasionally travel to various provinces within Canada.Experience with nutrition and health wellness will be an asset.
