Job Overview
We are looking for a highly efficient, professional, and communicative Clinic Front Desk Administrative Assistant / Customer Service Representative to help optimize our clinic's operations and provide an outstanding service experience for our patients. This role is responsible for patient reception, appointment management, daily administrative support, and customer inquiries. The ideal candidate should have exceptional communication skills , strong organizational abilities , and the ability to coordinate efficiently in a fast-paced healthcare environment .
Responsibilities
- Greet patients with professionalism and friendliness to ensure a positive clinic experience.
- Handle phone, email, and in-person inquiries, efficiently addressing patient questions regarding appointments, treatments, and clinic policies.
- Manage the appointment scheduling system, optimize doctor schedules, and ensure smooth daily operations.
- Perform general administrative duties, including document management, billing processing, inventory management, and insurance coordination.
- Maintain and update patient records with accuracy while strictly adhering to privacy protection policies.
- Support marketing initiatives and membership programs, including social media management, patient follow-ups, and event coordination.
- Collaborate closely with the clinic team to improve front desk processes and enhance overall service quality.
Requirements
Language Skills : Fluent in English and Mandarin with clear, efficient communication skills ( Cantonese is a plus ).Customer Service Experience : At least 1-2 years of experience in customer service or administrative support, preferably in the healthcare or wellness industry.Strong Communication Skills : Ability to quickly build trust and effectively convey information to patients, doctors, and team members.Technical Skills : Proficient in Microsoft Office (Word, Excel, Outlook), CRM systems, Zoom, and other relevant software.Organizational Abilities : Excellent time management and multitasking skills, capable of handling a fast-paced environment efficiently.Professionalism : Detail-oriented, responsible, and possesses strong interpersonal and teamwork skills.Preferred Qualifications
Cantonese proficiency is an asset for serving a broader patient base.Background in public health, psychology, or healthcare management is a plus.Experience in event planning, marketing, or data analysis is beneficial.Work Schedule
Full-time / Part-time with flexible scheduling, including some weekend shifts.
