Job Description

1.Employee Support :

  • Maintenance of company key automation systems Workforce, Ungerbeock, Maximo Preventative Maintenance program and Adaco or similar
  • Assists Director and Manager with employee scheduling, vacations requests, payroll, day-to-day inquiries
  • Assists with scheduling day to day maintenance and repairs
  • Liaises with other MTCC staff involving client needs (internal and external)

2.Finances :

  • Assists and prepares month-end operating budget finance report and Capital budgeting and forecasting reports for engineering Department. Monthly / Quarterly.
  • Assist administrator with daily payroll and ongoing scheduling for engineering staff in Workforce
  • Responsible for the purchasing of equipment and supplies and timely payment process of all service orders, invoices using Adaco system
  • Assist with budgeting and forecasting.
  • 3.Administration :

  • Maintains daily work order logs
  • Assists with weekly preventative maintenance schedules.
  • Enter and dispatch in Maximo all work orders and completed work orders and preventative maintenance work.
  • Prepares Maximo utilization reports.
  • Schedule and Maintain record of Escalator / Elevator maintenance
  • Communicates via e-mail all major maintenance / equipment status updates to appropriate parties
  • Provides support at the request of Event Co-ordination to ensure maintenance functions, set-ups and repairs have been completed re show requirements.
  • Answers general maintenance inquiries from external customers and makes maintenance adjustments.
  • Occasional requirement to inspect storm and sanitary pumps / pits, grease traps and drain lines.
  • Occasional exposure to a typical facilities environment (fumes, airborne particles, electricity, moving mechanical part, heights, outside weather conditions, etc.).
  • Provides direct and indirect support and services to customers. Consults with managers, staff and subordinates daily in resolving issues, collecting feedback and assigning work duties.
  • Contacts external contractors and suppliers to arrange services or follow-up and supplies purchases.
  • Assist with Energy reconciliations.
  • Job Skills and Requirements

  • Minimum 3 year work experience in a similar leadership role
  • Completion of Building Environmental Systems 1 & 2 certification
  • Educational background in related field is an asset
  • Knowledge regarding facility functions would be an asset ( understanding of lighting systems such as PDM, Siemens or similar Building Automation System, blueprint, HVAC, plumbing & electrical)
  • Experience working in a unionized work environment
  • Previous experience with work order management systems
  • Must possess skills in administrative duties and functions.
  • Demonstrated ability in multitasking, self-motivation, organizational skills and ability to meet deadlines.
  • Ability to work under pressure at times.
  • Potential for occasional evening and weekend work.
