POSITION : Supply Staff Administrator
LOCATION : Catholic Education Centre, Human Resource Services. 650 Rossland Road West, Oshawa ON, L1J 7C4 - Hybrid work options are available.
HOURS OF WORK : Monday to Friday, 6 : 00 a.m. to 2 : 15 p.m.
SALARY : Management / Administrative A5 ($71,027 - $82,221)

POSITION SUMMARY
Coordinates all activities related to the automated supply staff deployment systems, including monitoring supply assignments and fill rates, developing and providing reports, creating training resources, and other duties that ensure the efficiency of the system and accuracy of supply staff data.
DUTIES AND RESPONSIBILITIES
- Coordinate and manage the daily deployment of supply staff to schools by utilizing all functions of the Boards and other related systems;
- Oversee daily supply staff requirements of the system and the filling of absences;
- Monitor fill rates on a daily basis and take action as appropriate to ensure vacancies are filled;
- Maintain and manage the databases of supply staff profiles, including newly hired employees, and their availability for assignment to ensure current and accurate information;
- Liaise with school administration and board level management regarding supply staff needs and other staff deployment functions;
- Manage different access and security levels for each user of the Boards automated supply staff deployment system;
- Oversee testing and implementation of new functions and versions of the automated supply staff deployment system;
- Develop and implement training procedures and resources;
- Develop and analyze reports as requested and make recommendations based on needs and data collected;
- Assist with the management and coordination of projects as they pertain to the Boards automated supply staff deployment system;
- Provide training to staff as necessary;
- Analyze system reports, identify and correct errors;
- Communicate with vendors regarding troubleshooting and features of the automated supply staff deployment system;
- Work with teams in various departments on workflows and communications to schools and staff regarding supply support and deployment programs.
QUALIFICATIONS AND EXPERIENCE
Post-secondary education in Human Resources, Business or related field, or a combination of education and professional experience deemed equivalent by the Board.3 years experience in analyzing data and working in related HR systems including developing reports.3 years experience working in a fast-paced and customer service-oriented environment.Experience with dispatching software and in-house HRIS systems would be an asset.Experience working in a unionized environment with multiple collective agreements.KNOWLEDGE AND SKILLS
Ability to communicate effectively with staff and external individuals.Proficiency in Microsoft Office products including Excel.Demonstrated ability to function effectively in a team and office environment with excellent organizational and time management skills.Ability to multi-task and prioritize workload.Critical thinking, problem-solving and analytical skills as well as attention to detail required to ensure accuracy.Demonstrated commitment to customer service excellence, pleasant and positive attitude.Individual must have excellent interpersonal and communication skills (written and verbal), demonstrate mature judgment and flexibility to adapt to changing priorities.Highly self-motivated, self-directed with keen attention to detail, and the ability to work well with minimum supervision.At DCDSB, fostering a culture of inclusion is a fundamental imperative.
