Description :
The Records and Privacy Management Officer will lead the design, implementation, and management of records management practices within the Hamilton-Wentworth Catholic District School Board (HWCDSB).
This role encompasses strategic, tactical, and operational leadership in records and privacy management.
Responsibilities :
Develop and maintain a comprehensive records and privacy management program, including governance structures, standards, guidelines, and practices.
Ensure compliance with provincial legislation and alignment with HWCDSB's mission and vision.
Provide guidance on managing physical and electronic records, including creation, classification, storage, and disposition.
Integrate records management policies into business processes and oversee related activities.
Develop and maintain records retention schedules and ensure adherence.
Respond to Freedom of Information inquiries with legal support.
Implement privacy practices to ensure confidentiality and minimize risk.
Advise on privacy matters and liaise with legal and external organizations as needed.
Ensure appropriate privacy and confidentiality procedures are in place.
Develop and deliver training on records and privacy management.
Collaborate with the Privacy Commission of Ontario on privacy breaches.
Administer the board's privacy policy and coordinate Privacy Impact Assessments.
Monitor legislative changes and update practices accordingly.
Develop internal communication tools to educate stakeholders on privacy requirements.
Perform other duties as assigned.
Qualifications :
Degree in Information Sciences (Bachelor / Masters).
Certified Information and Privacy Professional (CIPP) and / or Certified Privacy Manager (CIPM) preferred.
Relevant experience in privacy, freedom of information, and records management.
Knowledge of records and privacy management legislation.
Experience conducting Privacy Impact Assessments (PIAs).
Familiarity with PHIPA and MFIPPA, including handling freedom of information requests.
Strong leadership and project management skills.
Excellent interpersonal skills to work effectively across all organizational levels.
