We are offering a short term contract employment opportunity for a Receptionist in the Real Estate Property and Facilities Management industry, located in Vancouver, British Columbia. As a Receptionist, you will be responsible for managing the front desk operations, handling incoming calls, assisting with administrative tasks, and providing excellent customer service. This role is based in the office.
Responsibilities :
- Handle the front desk operations including greeting visitors and directing them to appropriate meeting rooms
- Answer and direct incoming calls, approximately 10 per day
- Receive and sort mail and packages, notifying team members for pick up
- Maintain a clean and organized front desk and meeting rooms, ensuring they are set up properly with water, coffee, and other necessities
- Use Microsoft Excel, Microsoft Outlook, and Microsoft Word for various tasks
- Perform data entry tasks and organize files as required
- Handle email correspondence in a detail oriented and timely manner
- Leverage strong interpersonal skills to provide exceptional customer service
- Schedule appointments as needed, utilizing an answering multi-line phone system.
- Have at least 1 year of experience in a receptionist role
- Ability to proficiently manage a multi-line phone system, handling all incoming calls with detail oriented and courtesy
- Strong customer service skills, with a proven track record of establishing and maintaining positive relationships with clients and colleagues
- Proficient in data entry tasks, ensuring all information is accurate and up to date
- Excellent email correspondence skills, with the ability to communicate effectively and detail oriented with clients and team members
- Strong interpersonal skills, with the ability to interact effectively with individuals at all levels within the organization
- Proficiency in Microsoft Excel, Outlook and Word, with the ability to create and manage spreadsheets, send detail oriented emails, and create documents as required
- Experience in organizing files, ensuring all documents are correctly filed and easily retrievable
